We are a high-performing Toronto-based real estate team focused on creating a seamless, technology-driven experience for our clients. Our team uses platforms like Follow Up Boss, GoHighLevel, DocuSign, N8N and TRREB/OREA systems to automate and streamline paperwork -- from listing agreements to closing files.
We are looking for an experienced real estate administrative and automation professional to help us build an automated listing agreement workflow that pulls property data, fills in forms, and sends them out for digital signatures.
Role Overview
You will design, implement, and manage an AI-assisted paperwork automation system that:
Starts with an address search
Pulls or verifies landlord/seller information
Auto-fills OREA/TRREB Listing Agreement forms
Sends them via DocuSign or Authentisign for client signature
Saves completed documents into Google Drive or Dropbox
Notifies brokerage compliance automatically
Role Overview
You will help us design and manage an automated paperwork system that:
Starts with a property address search
Confirms the landlord/seller name from Realist / GeoWarehouse
Auto-fills OREA/TRREB listing forms (Authority to Sell / Lease)
Sends the documents via DocuSign or Authentisign for e-signature
Saves completed files in Google Drive / SharePoint and notifies compliance
Key Responsibilities
Build automation flows in Go High Level, N8N or Make (Integromat)
Create and map DocuSign / Authentisign templates using merge fields
Integrate data from TRREB, GeoWarehouse, and internal CRMs
Ensure documents are RECO- and brokerage-compliant
Develop simple SOPs + training documentation for team members
Provide ongoing maintenance and optimization of the workflow
Qualifications
3+ years of real estate administrative experience in Toronto / Ontario
Deep understanding of OREA / TRREB forms (Form 200, 201, 401, 320, 244, etc.)
Hands-on experience with DocuSign or Authentisign template setup
Working knowledge of Go High Level, N8N, Make, Follow Up boss
Familiarity with brokerage compliance standards
Excellent attention to detail, accuracy, and organization
Strong communication and documentation skills
Nice to Have
Experience with Follow Up Boss CRM automation
Knowledge of GeoWarehouse / Realist data lookup
Familiarity with Google Workspace or Microsoft 365 automation
Basic API or data-mapping skills

Must be available for short meetings during EST business hours
