Job Summary
The International Programs & Transfer Credit Advisor role sits within Engineering Academic Services (EAS) and is responsible for providing leadership that supports international educational opportunities for students enrolled in the BASc., and B.Des. programs at the Vancouver campus. The International Programs & Transfer Credit Advisor is required to maintain an in-depth understanding of the requirements and options in all programs to provide accurate and consistent advice for students, faculty, and staff.
This role is responsible for all aspects of transfer credit articulation for the BASc. program in accordance with UBC and Faculty articulation policies as well as the academic advising of transfer students into the BASc. program. This requires the management of complex processes, and conducting complex reviews of student records. The International Programs & Transfer Credit Advisor oversees the Engineering Academic Services transfer credit database, is the subject matter expert on the transfer credit process and inquiries, develops and implements communications and advising for incoming transfer students.
Responsibilities for this role include the development, implementation, marketing, delivery, and evaluation of all activities and advising services related to the Applied Science (APSC) student international experience to fulfill the Faculty's mandate to increase student enrolment in international opportunities while ensuring student's overall success. This includes marketing opportunities to students, assessing and evaluating current offerings, and updating current programs and opportunities.
Occasional evening and weekend work will be required.
Organizational Status
This position works as a member of the UBC Engineering Academic Services (EAS) team and reports to the Associate Director, Admissions & Enrolment. The incumbent will also interact regularly with the Go Global student mobility team, APSC Dean's Office, CIE faculty and program advisors and the student service personnel within the faculty at the Vancouver and Okanagan campuses. This position works with considerable autonomy under broad direction from the EAS Associate Director, Admissions & Enrolment. Receives direction from the Director, Marketing & Communications to ensure initiatives align with brand standards and APSC marketing and communications strategies.
Work Performed
Transfer CreditsInitiate, coordinate and finalize the articulation of transfer credits as they apply to the BASc. program.
Maintain, update and continually improve the APSC-specific transfer credit database.
Be the main point of contact and lead advisor for anything related to transfer credits within the BASc program including:
training academic advisors in EAS on transfer credits
responding to complex transfer credit inquiries from students
conducting transfer credit advising
liaising with the Undergraduate Admissions Office on the transfer credits updates to the student record
identify the articulated credits that are escalated to the Undergraduate Admissions Office to update UBC's database
Student AdvisingThis role advises all BASc., B.EnD., and B.Des. students on international learning opportunities. Additionally, the role is responsible for advising transfer students in engineering on transfer credits and their utilization in the degree requirements. Responsibilities include:
Advise students inquiring on international learning opportunities, anticipate their needs and offer advice based on subject matter expertise.
Advise students about the process, requirements and eligibility for application to international learning programs.
Assess and interpret student's academic and personal goals and academic performance to provide advisory service to support students in developing a holistic academic plan taking in consideration the student's academic, personal and professional goals.
Guide students through course selection research at partner universities, from a list of pre-articulated transfer credit assessments, to ensure pre-requisites and continuation requirements are met, and degree requirements will be fulfilled in consult with the students' program advisors.
Endorse student applications for exchange in accordance with Go Global and faculty eligibility guidelines.
Advise students prior, during and post international experience, exercising judgment in forwarding and communicating relevant inquiries to the Associate Director, Admissions & Enrolment.
Interpret and apply UBC and partner institutions' policy in relation to individual students. Propose exceptions to policy for individuals as required.
Act as a primary point of resource for staff, faculty, and BASc., B.Des. students for the Vancouver campus considering participating in an international learning experience.
Guide BASc. students through the process of requesting an articulation of transfer credits and advise how the credits may apply to their degree requirements.
Act as the main point of contact for all incoming BASc. transfer students, supporting them in transfer credit articulation and navigating second year placement and registration.
Develop and implement a communication strategy for all BASc. transfer students to ensure that they have all the information that they need on transfer credits, second year placement, registration, etc, in order to be successful in their first year at UBC
Proactively reach out to BASc. transfer students for advising to ensure they have relevant and timely information
International ProgramsThe International Programs & Transfer Credits Advisor will implement, coordinate and evaluate the APSC international learning opportunities for advancing, fulfilling, and honing the Faculty's internationalization mandate. To this end the incumbent will:
Evaluate, make and implement strategic recommendations for areas of growth in student participation in an international learning opportunity and potential improvement in student advising services.
Represent the Faculty in the renewal and maintenance of established partnerships with university partner institutions, including managing UBC and partner goals and expectations, and hosting campus visits by delegates from partner institutions.
Work collaboratively with key stakeholders and represent the faculty to establish new partnerships that align with UBC and APSC strategic goals on international learning.
Develop and maintain relationships with APSC program advisors and administrators to deliver a coordinated advising and support system for students participating in an international experience.
Oversee APSC exchange balances, problem-solve when related issues arise.
Develop procedures to administer outbound student processes in coordination with Go Global. This includes processes of the program, organizing student outreach events, and evaluation of transfer credits.
Evaluate outcomes of APSC students participating in international learning in fulfilling the
Faculty's strategic goals, analyze data and make recommendation for enhancements.
Research the development of academic APSC exchange placements and curriculum mappings at international partner institutions through assessment of engineering (BASc.), and design in Architecture, Landscape Architecture and Urbanisms (B.Des.) degree requirements, discipline, and academic level.
Attend fairs and outreach events, and deliver presentations to students and faculty members to promote international learning experiences.
Facilitate pre-departure learning sessions, information sessions, and inbound students orientation programming in conjunction with Go Global.
Oversee the management of distance exams for all engineering students on international mobility programs, as needed.
Attend partner events and international learning conferences as required.
Develop, manage, and reconcile the international learning budget and prepare financial reports.
Conduct research and prepare briefs, data and reports related to advising services and the development and application of information technologies related to international learning.
Maintain current knowledge of international advising standards and best practices by attending and presenting at conferences and workshops.
Develop and maintain a knowledge base of worldwide educational systems in order to advise students participating in study abroad programs.
Perform other tasks related to the support and development of outgoing study abroad and research abroad students, and other operations in EAS as required.
Develop and implement a marketing strategy to increase APSC students' awareness and participation in international learning opportunities in consultation with Go Global and the Applied Science Director, Marketing & Communication, including marketing materials, publication materials, and website content.
Identify the key messages, develop and execute a communication plan, and promote to APSC students, faculty members and staff on the value of international learning, the Faculty's internationalization priorities, and the available opportunities in consultation with the Director, Marketing & Communications.
AdministrationPrepare reports on student data, feedback, and course information to communicate international learning program progress to the Faculty of Applied Science.
Coordinate faculty-specific international awards, and maintain information on financial awards and assistance available through APSC international programs.
Recommend courses to be articulated in order to support the needs of students across all disciplines within the faculty.
Develop operating policy to improve efficiency of processes related to international learning.
Participate in the recruitment, hiring and training of other professional and clerical staff; student employees and co-op students as needed.
Perform other duties related to the qualifications and requirements of the position.
Provide training and general supervision to students and/or temporary staff.
Other DutiesParticipate in identifying processes and systems that require improvement, mapping current processes, re-designing processes, and making recommendations for change.
Assume responsibility for special projects assigned by the Associate Director, Admissions & Enrolment.
May be required to represent the APSC on university committees or at public functions.
Maintain and update a procedures manual for the position.

Consequence of Error/Judgement
A wide latitude of decision making is required. Decision-making is based on a thorough knowledge of the policies and procedures of the University and the Faculty of Applied Science. The incumbent exercises considerable judgment and must demonstrate tact and discretion. Advising decisions directly affect the quality of the student experience. Poor performance including inefficient or uncaring service affects the reputation and credibility of Engineering Student Services, the Faculty of Applied Science and the University thereby endangering the Faculty's strategic goals. Errors in judgment, poor advising, and/or inconsistency in decision making could have significantly negative financial, academic, and personal consequences for students, including serious difficulty in attaining their educational goals and even delay in graduation. Failure to apply policies and procedures could result in loss of accreditation and/or students being placed in inappropriate study environments. Errors in judgment will reflect negatively on the relationships with partner institutions. Lack of cross-cultural sensitivity would compromise the integrity of the Applied Science programs as well as jeopardize the reputation of the Faculty of Applied Science and the university thereby affecting the recruitment and retention of students.

Undergraduate degree in a relevant discipline. Minimum of three to four years of related experience, or an equivalent combination of education and experience.
