About the Role
We're looking for a highly organized and proactive
International Logistics & Compliance Coordinator
to manage
global import and export operations
from our headquarters in
Woodbridge, ON.
This is a hands-on, detail-focused role ideal for someone experienced with international air shipments, trade documentation, and compliance with Canadian customs and export regulations.
Key Responsibilities
Import Operations
Receive, review, and process import documentation (bills of lading, air waybills, commercial invoices, packing lists, certificates of origin).
Communicate with suppliers and overseas agents to ensure export documentation meets Canadian customs requirements.
Submit documents to customs brokers and follow up to ensure timely clearance and delivery.
Monitor entries in CARM (CBSA Assessment and Revenue Management) to ensure all import transactions are processed accurately by brokers, and develop subject-matter expertise in CARM processes.
Maintain compliance with CBSA regulations, Incoterms, and internal SOPs.
File and track claims for cargo damage, delays, or shortages.
Export Operations
Prepare export documentation, including commercial invoices, export declarations, certificates of origin, and packing lists.
Manage outbound international shipments, primarily via FedEx, UPS, and DHL air courier services.
Monitor shipments through courier portals and proactively address delays or documentation discrepancies.
Ensure full compliance with Canadian export control laws, controlled goods regulations, and destination import requirements.
Documentation & Compliance
Maintain accurate, organized records of all import/export activities and support periodic internal audits.
Verify courier, brokerage, and freight invoices for accuracy and coordinate billing details with accounting.
Stay informed on changes to Canadian export laws, U.S. import tariffs, and international trade regulations.
Support ISO 9001:2015 documentation and compliance standards.
Proactively inform management of key regulatory or logistical developments.
Internal Coordination & Continuous Improvement
Collaborate with sales, accounting, and management teams to resolve shipment or billing issues.
Develop an understanding of GSCI products to ensure shipments include all necessary tools and components.
Identify opportunities to improve logistics efficiency, documentation accuracy, and compliance processes.
Take initiative--act to prevent problems rather than waiting for direction.
Physical Logistics & Handling
Assist with packing, loading, and unloading shipments to ensure orders are complete and properly prepared for transport.
Travel occasionally to the outside storage unit to pick up or drop off extra parts, tools, or materials - a personal vehicle is considered an asset for these tasks.
Ensure all handling complies with safety protocols and company standards.
Qualifications
Minimum 2 years of experience in international logistics, trade compliance, or import/export operations.
Strong knowledge of Canadian import/export procedures, CBSA customs processes, and Incoterms.
Proven experience managing air freight shipments via FedEx, UPS, or DHL.
Experience with CARM or the ability to quickly become a CARM specialist.
College or university degree in Business, International Trade/Commerce, Law, or equivalent experience.
Fluent in English (spoken and written) with strong communication and documentation skills.
Highly organized, proactive, and capable of managing multiple priorities in a fast-paced environment.
Strong analytical and problem-solving skills with a forward-thinking approach.
Self-motivated, detail-oriented, and dependable under pressure.
Ability to lift boxes of up to 20kg.
