Starting April - 12 month term with possibility of extension
The City of Melville is requesting applications for the interim position of Administrative Assistant. This position is under the direct supervision of the Administration and Assessment Manager and is responsible for administrative and clerical services to the City of Melville. The employee performing in this position is responsible for front counter reception and customer service including greeting and assisting the public in person and by telephone and email, processing customer payments, providing administrative support to Management team, and performing other related duties as assigned. The employee performing in this position must display a positive attitude, demonstrate the ability to pay attention to detail while working efficiently, be adaptable and work effectively within a variety of situations, be committed to professional learning towards enhancing skills and knowledge, be able to work as a team player and work independently with minimal supervision, and be able to maintain strict confidentiality.
Main Duties and responsibilities
Process and balance cash, cheque, online bill payments, TIPP and PAD transactions and all related duties
Provide front counter reception and customer service including answering telephones and responding to or directing emails to appropriate departments
Perform general office tasks including typing, filing, and photocopying as required
Responsible for collecting and sorting incoming and outgoing mail
Prepare tax certificates and assessment field sheets
Issue and maintain registers for pet licenses and taxi vouchers
Ensure printed information media is current including brochure racks and bulletin boards
Provide administrative and clerical support to the Management team
Provide other job-related duties as assigned
Qualifications
Minimum Grade 12 Diploma or equivalent
Office Education and/or Business Administration or an equivalent combination of education, training and/or experience
High level of computer literacy specifically with Microsoft Office Products
Strong communication and interpersonal skills
Experience working in a Public Sector environment, an asset
Experience with Vadim Software, an asset
Experience with CGIS, an asset
Valid Class % Driver's License
Clear Criminal Record Check
The wage for this position is $19.76 per hour as per the existing CUPE Local 456 agreement (expired December 31, 2023).
