Position Title: RAP Intake Worker/Administrative Assistant Organization Structure: Reports to the Programs Manager Job Classification: Intake Job Status: Full Time Location: RAP Center \xe2\x80\x93 Mississauga Wage: $20.97 per hour for 40 hours per week This is a Bargaining Unit Position Scope of Position The Reception Center services are provided in a twenty-four hour, seven days a week hotel setting which is a temporary home to up to 250 clients. Responsible for ongoing client intake including receiving clients from the airport, gathering basic background information; making hotel reservation, providing hotel orientation up on clients arrivals, coordinate with catering company, assist in the coordination of volunteers to deliver interpretation services within and outside of the agency offices and provide administrative support to multiple program areas. Responsibilities \xc2\xa7 Make hotel reservations for clients based on funders reference and cancellations when necessary \xc2\xa7 Coordinate with Point of Entry agency and transportation providers to ensure safe and smooth arrival of clients to the reception center \xc2\xa7 Responsible for the delivery of programs and counseling services to clients; Provide emergency orientation to new arrivals \xc2\xa7 Responsible for the intake/admission, pre-departure services and check-out of residents ensuring complete documentation \xc2\xa7 Responsible for the operation of the Centre, which includes responding to emergency situations. \xc2\xa7 Responsible for office duties such as answering telephones and registering clients into various programs \xc2\xa7 Assesses clients\' needs in regards to initial settlement issues. \xc2\xa7 Conducts Government Assisted Refugees(GAR) Clients Intake and Moving Procedure \xc2\xa7 Refer client to other agencies or in-house for further counselling. \xc2\xa7 Develops short term and long term case management counselling services \xc2\xa7 Liaises with landlord, other personnel, other agencies and organizations regarding services for clients. \xc2\xa7 Facilitates group information sessions and workshops for newcomers and coordinates with partners when necessary \xc2\xa7 Provide Housing Support Services and assist clients to set priorities and follow up on their progress \xc2\xa7 Inputs cases/information in database systems and prepares referral data for monthly reports \xc2\xa7 Arrange with catering company regarding food delivery \xc2\xa7 Responsible for distributing and compiling client satisfaction surveys and feedback forms \xc2\xa7 Maintain documentation related to supplies required, purchase orders submitted, service contracts etc. \xc2\xa7 Responsible for petty cash \xc2\xa7 Maintain strong working relations with agency programs and partner organizations \xc2\xa7 Actively participate in professional development initiatives \xc2\xa7 Must meet target set by Programs Manager Competencies Adaptability, Communications, Initiative, Service Qualifications \xc2\xa7 A degree or diploma in Administration, Social Services or Counselling and at least three years\xe2\x80\x99 experience working with immigrant communities or a combination of experience and education that fulfills the requirements \xc2\xa7 A second language in Somali, French, Arabic required \xc2\xa7 Knowledge of immigration and refugee services and of the ethno-specific programs and services (government, agencies) in GTA \xc2\xa7 Successful completion of Polycultural\xe2\x80\x99s service delivery manual \xc2\xa7 Possession of a current First Aid/CPR training certificate would be an asset \xc2\xa7 Familiarity with issues facing newcomers in a Canadian urban setting and systemic barriers facing integration in education, social, cultural, and economic aspects of Canadian life \xc2\xa7 Excellent interpersonal, cross cultural, customer service, written and verbal communication skills \xc2\xa7 Experience in outreach, community development and marketing of program and services \xc2\xa7 Strong organizational and technical skills, including proficiency in Microsoft Office \xc2\xa7 Must be able to lift up-to 30 pounds \xc2\xa7 Flexible schedule is required (including evenings and weekends) on as needed basis \xc2\xa7 Valid G drivers license is required Other requirements \xc2\xb7 A satisfactory Vulnerable Sector Police Check (completed when an offer is made) Job Type: Full-time Salary: $20.97 per hour Benefits:
