The Otipemisiwak Metis Government is recruiting an Intake Clerk to support the Registry team. Reporting to the Registry Operations Manager, this position will be responsible for supporting citizenship intake processes within the department, including ordering documents for applications and ensuring Metis citizenship applications are complete before sending to the Registry Agents. The successful candidate must possess strong attention to detail, accurate data-entry skills, the ability to build relationships with citizens and community members, and a solid understanding of the Otipemisiwak Metis Government citizen application process. This role will require travel throughout Alberta for Registry Sessions or other events.




Key Responsibilities




Answer public inquiries and liaise with applicants by mail, telephone, e-mail, or in person to obtain further citizenship application information and documentation, as required, and to keep them informed on the status of their applications. Order application documents through Alberta Vital Statistics Office. Provide Commissioner of Oath services to certify the authenticity of documents, when required. Update citizen information (e.g. address change) when forms are missing or unavailable. Contact citizens with youth dependents to encourage youth applying for citizenship. Enter all telephone inquiries into the database for tracking purposes. Complete internal reporting of statistical information pertaining to citizenship applications and processing. Provide support to other Intake staff, as required, including but not limited to: + Conduct initial assessments to ensure that in-person applicants have all mandatory documents prior to commencing with the citizenship intake process. + Validate application requirements and data capture applicant information into the database.
Maintain a high level of confidentiality in all interactions. Participate in staff meetings and special projects within the department. Present a positive and professional image of the organization when interacting with employees, clients/customers, visitors, and other external stakeholders. Travel throughout the province of Alberta to assist with Registry Sessions and other events. Other duties as required or assigned.



Skills & Competencies








Recognized strength in supporting teams and providing administrative and clerical support to add to organizational capacity. Strong computer skills with the ability to adapt to new technology and software. Proficient in Microsoft Office programs (including Word, Excel, and PowerPoint). Ability to effectively maintain filing systems, databases and tracking processes. Superior written and verbal communication skills, including professional email etiquette. Strong planning and organizational skills, with an ability to organize and prioritize daily tasks and long-term objectives. Exceptional attention to detail, with a commitment to producing accurate and error-free work Excellent interpersonal skills, with the ability to build strong relationships. Ability to work independently as well as part of a team. Flexible and adaptable, with an ability to switch between multiple priorities within a diverse and fast-paced environment. Strong sense of ethics and the ability to maintain a high level of confidentiality in all interactions. Political and cultural sensitivity. Knowledge of Metis history, culture, and issues affecting Metis people. An in-depth understanding of the Otipemisiwak Metis Government and Metis culture is an asset.



Qualifications




High School Diploma or equivalent. Administrative certificate/diploma or education in a related field is an asset. Other relevant training or experience will be considered. Minimum two (2) years of experience in a similar role, preferably within a government, non-profit, or Indigenous organization.



Other Requirements




Position is based in Edmonton, AB; in-office presence is required. Ability to work a regular schedule of Monday - Friday, 8:30 AM - 4:30 PM as well as occasional evenings and weekends, with notice. Ability to travel throughout Alberta is a requirement. Reliable transportation and a valid Class 5 driver's license.
