Reporting to the Marketing team, we're looking for a professional who enjoys "getting things done", working behind the scenes on a small team that supports employees Company-wide. As an important ally for marketing & business development (M&BD) activities and pursuits across the organization, you partner with other corporate teams and assist and guide the Company's internal clients with their deadline-driven requests for company information and data. You have sharp attention to detail and enjoy managing and maintaining the accuracy and consistency of financial, HR, insurance, risk management, etc, information required for proposal submissions, prequalifications, questionnaires, requests for quotation (RFQs)/requests for information (RFIs), qualification databases, surveys, marketing materials, and more. You thrive in a fast-pace setting with day-to-day administration and consistent tasks and deliverables. In this role you will continually learn and expand your knowledge about our Company.

Your Key Responsibilities

Manage and maintain accurate records of company data

Manage and maintain databases for government systems

Provide assistance, guidance, and company information for marketing and business development efforts across the company

Engage and collaborate with internal partners to collect and confirm company information

Manage and maintain corporate memberships

Coordinate enhancements for the internal communications and template systems

Audit and cleanse data, and create efficient processes for that data

Monitor and respond to mailbox inquiries

Qualifications

Your Capabilities and Credentials

Ability to perform successfully in a fast-paced, deadline-driven, multi-priority environment

Experience supporting marketing and business development efforts for proposal submissions, prequalifications, questionnaires, requests for quotation (RFQs)/requests for information (RFIs), qualification databases, surveys, marketing materials, and more.

Excellent written and verbal communication and interpersonal skills with the ability to clearly articulate issues and frame solutions in a compelling manner

Demonstrated ability to identify, assess, evaluate, and solve complex problems

Strong project management skills, including exceptional prioritization of competing deliverables

High attention to detail and quality

Demonstrated proficiency with web-based tools, including Microsoft Office, Adobe Creative Suite, Content Management Systems, and cloud-based interfaces

Intermediate levels of Microsoft Excel proficiency with the ability to use formulas and pivot tables

Intermediate levels of Microsoft Word proficiency with the ability to use macros and build templates

Ability to effectively communicate and collaborate with supervisor, peers, and internal clients

Ability to thrive in a team environment and take autonomous initiative in your deliverables

Education and Experience

Office administration degree/diploma or equivalent experience

Minimum of 2-3 years of experience tracking and disseminating company information to internal clients is preferred

Experience managing and delivering solution-oriented projects

Experience with DUNS and SAM registrations and other databases is preferred

Experience in the Architecture/Engineering/Consulting industry is preferred
