Schedule and maintain appointments (meetings, presentations, conferences etc.)
Answer incoming telephone calls and direct calls to the appropriate person/department.
Determine and forward priorities of numerous telephone calls, requests and emails on a daily basis
Supporting lead counsel in their daily work. Specifically, participating in client calls and client consultations, preparing consultation notes and following up with potential clients in a timely manner
Processing clients\xe2\x80\x99 applications, including, collecting documents, organizing documents, completing immigration forms and drafting supporting documents
Conducting research to ensure processes are current and appropriate documents are being used
Assist on different applications such as temporary residence, permanent residence, Express Entry, PNPs, Citizenship, PRTD, H&C, Work Permits, Study Permits, Family Sponsorship applications, etc.,
Checking for updates on processing requirements and timelines at the appropriate government organizations i.e. IRCC, ESDC, Service Canada etc.,
Updating and maintaining internal Client Management databases daily to ensure that all communication records are available and organized;
Notifying clients of upcoming deadlines / extensions, and changes in processes or procedures
Complete all tasks assigned by the manager, both administrative and managerial
Checking client ledger to determine if any disbursements must be billed out
Tracking file progress against retainer to send a billing request to accounting once certain milestones are reached with the client
Ensuring that timelines and deadlines are diarized and met including expiry dates and other key dates
Other duties as assigned

Bachelor\'s degree / Diploma in English, History, or Humanities (OR) a Diploma or Certificate as a Paralegal, Law Clerk, or Legal Assistant is required
Work Experience:
Previous experience in a legal administrative role an asset
Previous Immigration experience of 1 - 2 years
Previous administrative / clerical / customer service experience of 1 - 2 years
