Key Activities


Under the supervision of the Chief Information Officer (CIO), the IM/IT Administrator is responsible for providing administrative and support to the Information Technology (IT) and Information Management (IM) department at the National Arts Centre (CNA). The Administrator performs a variety of tasks, such as scheduling meetings, preparing reports, financial management, managing software licenses and physical inventory, and liaising with internal and external stakeholders. The Administrator also assists with the development and implementation of IM/IT procedures, workflows, and IM/IT projects in alignment with the strategic goals and objectives of the department and the organization. The Administrator serves as a direct support to the Chief Information Officer but also to the departmental teams as required.




General/Administrative


Supports the CIO in an administrative capacity including but not limited to: scheduling meetings, organizing events, managing communication and information, preparing/editing documents, reports and presentations, ordering and managing office supplies and equipment, etc; Provides departmental invoice and expense management and reconciliation support: monthly expense reconciliation, managing claims/invoices, generating and analyzing financial reports, and liaising with finance; Coordinating routing of documents and agreements for reviews and approvals; Provides input to the implementation, evaluation and enhancement of processes, procedures, tools and templates pertaining to the work; Supports senior resources of the team in addressing the organization's IM/IT needs; Provides support on research and maintenance of IM/IT policy, procedures, best practices, and functionality of various systems; Maintains organizational awareness and relationships to ensure close and effective interdepartmental collaboration; Other project/initiative work as directed by IM/IT leadership; Participates in delivery of training/workshops on various aspects of IM/IT to meet organizational needs;
IT Operations Support


Maintains an inventory of IM/IT infrastructure, client devices, and software. Maintains IM/IT service catalogue; Updates and maintains IM/IT operational processes and documentation (disaster recovery, workflows, triage) ; Telecom - standardize, manage and distribute cellular services and devices NAC-wide; Tracking IT Operations service desk scheduling/coverage;

Project Support


Supports IM/IT program deliverables, assigned projects/initiatives and management briefings, presentations, and reports; Participates in project teams and/or stakeholder meetings, take meeting minutes and prepares records of discussion and decision; coordinates logistics for ad-hoc and regular meetings/events;
Information Management and Archives Support


Supports the IM/IT department as an IM champion and communications lead for interdepartmental communications (e.g. creating and promoting leHub articles); Contributes to the preparation and delivery of IM/IT training tools, documents and procedures/manuals for IM/IT awareness and training sessions.
Skill Requirements


Post-secondary diploma in Administration, Computer Science or an equivalent combination of education and experience; Minimum of three to five years of experience working in an administrative support capacity; Minimum of three to five years of experience in an IM/IT work environment is an asset; Knowledge of best practices in office administration; Knowledge of IT operations/infrastructure, information management, project management is an asset; Advanced computer software knowledge including MS Office (Teams, Outlook, Excel, Word, etc); Proficiency in both official languages; Excellent communication and interpersonal skills (orally and in writing); Advanced troubleshooting, analytical and organizational skills; Ability to work under pressure in a busy environment; Ability to understand, interpret and respond to stakeholder needs and expectations; Ability to work effectively in a team environment and sustain a collaborative working relationship with others; Ability to deliver quality service in a timely, effective, and efficient manner; Ability to work autonomously; Must be able to lift up to 30 lb as required; Work outside of core office hours may be required in support of IT operations on an exceptional basis; This position is located in Ottawa. Due to the nature of the work and operational requirements, this position requires physical presence (in-office work 6 days out of 10 days); Experience in a performing arts context is an asset.
