Job Summary:



The HVAC Inside Sales Representative is responsible for communicating with field technicians and translating deficiencies found on site into accurate quotations.

The HVAC Inside Sales Representative will oversee the entire lifecycle of an job, which will include gathering information from field technicians, reaching out to suppliers and manufacturers to receive up to date costs, preparing, compiling, and sending cost estimates to customers, processing approved quotations, ordering all required parts, and relaying to the dispatch team when a quotation is ready for installation.

The successful candidate will require strong verbal communication skills and must be comfortable relaying information on the phone. The position will require the individual to be organized while working in a fast paced environment, and must be able to keep track of ongoing tasks on a revolving basis.

Key Responsibilities: Estimating & Proposal Development



Communicate clearly with field technicians and relay onsite findings into estimates Calculate labor, equipment, and material costs for HVAC installations or retrofits Use estimating software or spreadsheets to prepare detailed quotes Prepare and present formal proposals or quotes to customers

Technical Knowledge & Project Analysis



Select appropriate equipment and materials based on load calculations and job specs Work with vendors and suppliers to obtain accurate pricing Analyze past job costs and incorporate lessons learned into future estimates Collaborate with engineering or design teams as needed for custom solutions

Customer & Team Communication



Discuss project needs with customers, contractors, or general contractors Respond to customer questions and revise bids as needed Coordinate with the sales team, project managers, and technicians to ensure accurate job handoffs Attend pre-bid or kickoff meetings when necessary

Administrative & Reporting



Maintain a database of estimates, pricing, and vendor quotes Track bid success rates and follow up on outstanding proposals Assist in budgeting and forecasting based on project pipeline

Requirements:



Strong verbal and written communication skills a requirement High school diploma or GED 2-5 years of HVAC exposure (residential, commercial, or both), in office or on site Strong understanding of HVAC systems, equipment, and installation practices preferred Excellent math, analytical, and problem-solving skills Proficient in Microsoft Excel, Word, and CRM systems

Preferred Experience:



Experience working with general contractors or on plan/spec jobs HVAC technician background is a strong advantage
Job Type: Full-time

Pay: $60,000.00-$70,000.00 per year
