Mistawasis Nehiyawak First Nation is seeking an experienced and a highly organized professional
Human Resources Policy & Operations Coordinator
to support the operational functions of the Human Resources Department. Reporting to the Director of Human Resources, the HR Policy & Operations Coordinator role requires a candidate who can work with a high degree of independence, professionalism, and sound judgement.
The successful candidate will contribute to research, policy development, personnel file compliance, and governance readiness, including support for Financial Management Board (FMB) certification and recertification processes.
DUTIES AND RESPONSIBILITIES:
HR Operations & Support:
Provide administrative and coordination support to the Human Resources Department.
Independently prepare materials for Director and senior management meetings, including agendas, briefing notes, reports, and minutes.
Coordinate and support Director Meetings with minimal direction.
Manage confidential HR records and documentation with accuracy and discretion.
Serve as a professional point of contact for internal HR-related inquiries.
Personnel File Management & Compliance
Gather, organize, and maintain all Human Resources and organizational policies, procedures, and guidelines.
Develop and maintain a centralized policy and procedures library, including version control, approval status, and scheduled review dates.
Conduct policy gap analyses by comparing existing policies and procedures against operational needs, governance requirements, and best practices.
Assist in researching, drafting, reviewing, and updating policies related to employee well-being, recruitment, retention, and workforce practices.
Track policy approvals and ensure alignment with Mistawasis governance processes.
Recruitment & Workforce Support
Support the recruitment processes, including posting job ads, scheduling interviews, preparing interview packages, and reference checks.
Support onboarding and off boarding processes, including preparation of employment contracts, new hire documentation, and orientation materials.
Contribute to continuous improvement of recruitment processes.
General HR Administration
Prepare correspondence, letters, forms, and reports related to HR activities.
Assist with tracking probationary periods, performance evaluations, training, and leave records.
Support HR Committee meetings by preparing agendas, minutes, and supporting documentation.
Support the administration of the HRIS.
Perform other related duties as assigned.
QAULIFACTIONS:
Post-secondary degree or diploma in Human Resources, Business Administration or a related field
Minimum one (1) year of administrative or HR-related experience; experience in an HR environment is considered an asset.
Demonstrated experience supporting senior leadership or Director functions.
Strong research, writing, and analytical skills, particularly in policy or procedural development.
Strong organizational, communication, and time-management skills with attention to detail.
Proficiency in Microsoft Word, Excel, Outlook, and document management systems.
Strong written and verbal communication skills.
Ability to work independently with minimal supervision and exercise sound judgement.
OTHER REQUIRMENTS:
Ability to handle highly sensitive and confidential information.
Flexibility regarding assigned work hours and location.
Understanding of or willingness to learn First Nation governance, policies, and community based service delivery.
Ability to thrive in a fast-paced, evolving work environment.
Must possess a valid Saskatchewan driver's license, a reliable vehicle.
Must provide a current, original, Canadian Criminal Record Check (CPIC) as a condition of employment.
