We are looking for a mid-level HR professional who can wear many hats - from payroll and recruitment to performance systems and compliance, and help establish HR as a trusted, strategic partner across the organization.
Role Summary
Reporting to the Senior Director of Operations, the Human Resources Manager will be responsible for managing all core HR functions, across multiple provinces, for our growing organization. You will build and standardize HR operations, lead recruitment and onboarding, manage licensing and compliance, implement performance-review systems, and ensure effective operational support for our teams. This is a pivotal role where you'll help shape our HR foundation while driving results, efficiency, and employee experience.
Key Responsibilities
HR Operations & Compensation
Review all pay sheets (clinics, at-home program, HQ) for accuracy and ensure payroll is processed bi-weekly.
Track hours, vacation, sick time, statutory holidays for salaried, part-time, and casual staff.
Monitor compliance with provincial Employment Standards and coordinate with Finance.
Evaluate the need for an HRIS and lead recommendation/implementation if required.
Recruitment & Talent Acquisition
Create and manage job postings across Indeed, LinkedIn, internal career page; write/update job descriptions.
Screen candidates, run reference checks, coordinate panel interviews, manage candidate pipelines.
Proactively head-hunt for specialized roles (e.g., Psychotherapists, Nurse Practitioners, Clinic Managers).
Partner with educational institutions for student placements/co-ops and build applicant pipelines.
Licensing, Credentials & Compliance
Maintain a centralized tracking system for all staff certifications, licenses, expiry dates (NPs, RNs, MDs, therapists).
Ensure annual license reviews and renewal reminders are executed.
Oversee background checks, vulnerable-sector checks, liability insurance verification.
Maintain compliance with provincial regulatory requirements and HR recordkeeping.
Performance, Culture & Retention
Design and implement a formal performance review system (templates, cadence, manager training).
Coach managers on goal-setting, feedback, documentation.
Lead exit interviews, analyze turnover trends, propose retention strategies.
Support employee engagement and recognition initiatives.
Training, Onboarding & Policy Development
Oversee new-hire onboarding (orientation, systems access, facility access, policies).
Maintain all HR policies and procedures.
Assist department leads in creating training plans for new and existing staff.
Coordinate facilities access (keys, fobs, security codes) and ensure smooth transitions.
HR Systems & Reporting
Maintain digital and paper HR files (contracts, licenses, credentials).
Track and report key HR metrics (headcount, turnover, time-to-fill).
Prepare HR summaries and dashboards for the Senior Director of Operations and leadership.
What We're Looking For
4-7 years of HR experience (preferably generalist or mid-level) in a multi-site or multi-province environment.
Proven experience with payroll oversight and full-cycle recruitment.
Excellent understanding of Canadian provincial employment standards (Ontario, BC, Quebec).
Strong project-management skills, able to build processes from scratch and manage multiple priorities.
High integrity, excellent communication skills, ability to work in a fast-paced environment.
Comfort working in a small but scaling team, with the drive to build structure and influence change.
Bilingual (French/English) is a plus for Quebec market coverage.
