Applications are currently being accepted for a permanent full-time position at 35 hours/week as Human Resources Generalist, 5 days a week. This position is based out of our Kitchener office and reports to the Executive Director.

The incumbent leads and coordinates all human resources functions, including recruitment and onboarding, policy and job description management, benefits and pension administration, and labour relations. The role ensures compliance with employment legislation, collective agreements, and agency policies while maintaining accurate personnel records and preparing required reports and analytics. Acting as trusted advisor to management, the HR Generalist promotes fair and inclusive workplace practices, co-designs wellness and engagement initiatives, and champions diversity, equity, and inclusion across all levels of the organization. They provide support to the Executive Director, Board of Directors, and leadership team in program planning, employee relations, and decision-making, and contribute to fostering a positive, safe, and collaborative workplace culture. The position also coordinates community engagement activities, oversees operational and administrative functions, and performs additional duties that advance organizational effectiveness and employee well-being.

Responsibilities:



o

Lead recruiting, hiring, and onboarding -

Review cover letters and resumes, conduct reference checks, and prepare and issue job offer letters for new hires. Update job requirements/job descriptions and document change of status forms. Ensure equitable and compliant hiring practices in accordance with employment laws. Coordinate with IT, payroll, and department leaders to ensure a smooth start for new hires.

o

Update policies, staffing-related reports, and other relevant records -

Update policies and create new ones as required, create and update work unit procedures for human resources management functions, and complete and submit government reports related to staffing. Ensure all records relating to personnel are maintained in accordance with legislative requirements and Agency policies, and are accessible as required.

o

Manage personnel administration, pensions, and benefits -

Coordinate all personnel administration functions, administer employee benefits and pension programs in collaboration with JHSO and Finance, and prepare and distribute employment-related documentation. Compile and report HR analytics and submit required external reports. Ensure timely communication and record maintenance to support accuracy, compliance, and transparency in HR operations.

Administer leave processes -

Act as the primary contact and guidance for employees throughout the leave and return-to-work process. Coordinate LTD claims with employees and insurance providers, maintain benefit coverage during leaves and ensure employee-paid premiums are processed. Ensure compliance with organizational policies, legislation, and collective agreement requirements, with all documentation completed accurately and on time.

Co-design and implement wellness initiatives -

Coordinate inclusive, culturally responsive team events and workshops that foster belonging and connection. Manage internal Microsoft Teams channel to strengthen communication, engagement, and a cohesive workplace culture. Gather and analyze employee feedback on wellness, engagement, and psychological safety to drive continuous improvement. Champion DEI by supporting leadership in embedding inclusive values and practices across all aspects of employee engagement and organizational culture.

Plan and implement human resources management tools and systems-

Promote best practices in HR management and inform internal decision-making

o

Property and Vendor Management -

Assisting with the coordination and scheduling of building maintenance and repair, communication with vendors, assisting with Health & Safety concerns and proactive planning for properties and space usage.

The following are essential knowledge, skills, abilities and requirements for this position:



oA Bachelor's degree in Human Resources, Industrial Relations, Industrial/Organizational Psychology, Business Administration, or a related field (or equivalent combination of education and experience).

oMinimum 3 - 5 years' experience in a human resources role, preferably in the non-profit or charitable sector.

oStrong knowledge of HR practices, processes, and legislation; CHRP designation an asset.

oProven experience in conflict mediation, performance management, human rights, and disability management.

oDemonstrated sound judgement, discretion, and ability to manage sensitive and complex issues confidentially and efficiently.

oStrong interpersonal, coaching, and communication (oral and written) skills with a commitment to customer service and confidentiality.

oSelf-motivated, detail-oriented, and able to manage multiple priorities in a fast-paced environment, both independently and collaboratively.

oProficient in Microsoft Office Suite, HRIS, payroll software, social media, and virtual platforms.

oKnowledge of group insurance, benefits, and pension plan administration.

oUnderstanding of organizational systems and continuous improvement strategies.

oDemonstrated cross-cultural awareness and commitment to diversity and inclusion.

oFluency in French considered an asset.

oCurrent clearance from a criminal records check. Must be able to meet criminal and other offence/conviction screening criteria necessary for the Agency to maintain its contracts, insurance requirements and charitable status.

oA valid driver's license, reliable personal vehicle and insurance are required

Compensation Package: Salary is commensurate with experience:

The current starting rate for this position is $68,911.00/year. Vacation: 4 weeks per year; Competitive Group Benefits. Other benefits include Pension (after 2 years).
