The Opportunity:





We are recruiting for a

HUMAN RESOURCES COORDINATOR




This is a regular full-time position (35 hours per week Monday to Friday 9am to 5pm) based in Guelph.*



The Human Resources (HR) Coordinator plays an integral role in supporting the Canadian Mental Health Association Waterloo Wellington's (CMHA WW) commitment to fostering an inclusive, engaged, and high-performing workplace. Reporting to the Director, People and Culture, the HR Coordinator provides day-to-day administrative and operational support across all areas of human resources. This role contributes to the execution of HR programs and processes, including recruitment, onboarding, training, and employee engagement, while ensuring accuracy, confidentiality, and service excellence in every interaction.


Key Responsibilities:




Human Resources Administration



Provide general administrative support across the People and Culture department, including correspondence, document preparation, reports, and scheduling meetings, interviews, and training sessions. Prepare and process employment-related documentation such as wage or status changes, benefits updates, and letters of employment. Update and maintain organizational charts, HR files, and employee records in accordance with confidentiality and retention standards. Serve as a backup for benefits and pension enrollments and changes. Ensure job descriptions remain current and accurately reflect position requirements across all CMHA WW departments. Assist with coordinating the probationary review and performance management processes.

Recruitment, Onboarding & Offboarding




Coordinate interview scheduling for hiring managers and candidates, ensuring a smooth and professional recruitment experience. Assist with the preparation of new hire packages and onboarding materials. Support recruitment activities such as job fairs, information sessions, and community outreach events. Assist the HR Generalist with reference checks and pre-employment processes. Monitor onboarding and offboarding checklists, ensuring timely completion of forms, training, and documentation

Training & Development




Assist in coordinating organizational training initiatives and professional development sessions. Maintain records of employee participation in mandatory and optional training programs.

Employee Engagement & Recognition




Support the coordination of employee recognition programs, including years of service awards and appreciation events. Assist with employee engagement surveys and other initiatives related to organizational culture and inclusion (e.g., EIDAR and satisfaction surveys). Collaborate with the People and Culture team to enhance internal communications and employee experience.

Qualifications




Post-secondary degree or diploma in Human Resources Management or a related discipline (Business Administration, Diversity, Equity & Inclusion, Psychology, Sociology, Law or Employment Law, Communications, etc.). One to three years of office administration, preferably in human resources with a unionized and/or non-profit organization focus. CHRP designation is considered an asset (or actively in pursuit). Experience using HRIS platforms and familiarity with UKG and Canva considered an asset. Excellent attention to detail and organizational skills, including the ability to problem solve and prioritize competing tasks while managing shifting priorities effectively. Strong written and verbal communication skills, with the ability to interact professionally and effectively with all levels of staff. Advanced computer literacy, with proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Demonstrated commitment to equity, inclusion, diversity, and anti-racism (EIDAR) principles and ability to exercise discretion and maintain strict confidentiality. Valid G Class driver's license, access to a reliable personal vehicle, and appropriate insurance (travel to on-site meetings and events are required). CLASSIFICATION AND RATE OF PAY: Level 4 (NON-UNION) $29.29 to $35.56 per hour
