JOB SUMMARY
This position is responsible for providing efficient and reliable clerical assistance for the People Services department, as well as being the first point of contact for employees and visitors to the People Services department.
KEY DUTIES AND RESPONSIBILITIES
Respond to email inquiries from residents/applicants regarding Human Resources functions and available positions.
Maintain confidentiality and ensure compliance with municipal human resources best practices.
Assist with data entry, filing, and other administrative duties as assigned.
Maintains digital filing associated with Personnel Files
Provides department reception duties
Provides efficient and reliable customer service for the People Services Department and internal and external client groups.
Completes clerical duties for Employee/Labour Relations and Learning & Organizational Development (schedule meetings, book meeting room)
Update Intranet site as required
Provides clerical assistance
Assist with the logistics of department events
Maintenance of the departmental EIB
Maintains health & safety board(s) and intranet site postings as directed.
Update organizational charts
Order office supplies
Receive and inspect deliveries for accuracy
Process incoming mail and distribution to staff
REQUIRED SKILLS & COMPETENCIES
High School diploma or equivalent
A certificate or diploma in Human Resourceswould be an asset
1 to 3 years of experience in an office environment, preferably in a customer service environment
Excellent communication and interpersonal skills
Good data entry skills
Ability to perform under pressure
Organized and attentive to detail
Demonstrated ability to effectively utilize Microsoft Office, Access and HRIS software;
Demonstrated ability and willingness to assist other team members; share information with others as appropriate; assume additional responsibilities to facilitate the achievement of team goals;
Demonstrated to effectively prioritize workload and meet required deadlines.
