JOB SUMMARY

Reporting to the Director of Human Resources, the HR Assistant will primarily be responsible for full-cycle recruitment and onboarding, attendance management, scheduling of licensed care employees, benefits administration, and other general HR responsibilities in accordance with the collective agreements and organization policies.

DUTIES



Participates in the standard recruiting and hiring practices and procedures necessary to recruit and hire a superior workforce of unionized employees, including working with supervisors and managers to screen and interview candidates, conduct reference checks, extends job offers for unionized positions, verifies certifications and other job related requirements, conducts new-employee orientations and exit interviews;

Completes new employee benefit enrollment for eligible employees, and responds to employee questions related to their benefit packages;

Conducts organization-wide orientations;

Assist with Payroll processing functions, such as entering daily schedules of licensed care staff onto appropriate spreadsheets, tracking and documenting payroll adjustments, and other payroll duties as needed;

Monitors staff absenteeism and participates in the attendance management process; preparing letters, calendars, meeting questions, etc.;

Processes employee changes such as employee status changes and address changes;

Opens new employee personnel files and maintains current employee files, both electronic and hard copy, keeping them accurate, current, and archiving as required, including file purging;

Monitors employment requirements and notify staff of near expiry dates. This includes: Criminal Record Checks (CRC's), educational requirements related to employment positions, TB testing, driver's abstracts, proof of business insurance, food safe, first aid, etc.;

Assists scheduler to appropriately schedule long and short term vacancies and/or fill daily staffing requests for all licensed care staff. This includes regular and casual licensed care staff, in a unionized environment according to established procedures, collective agreements and staff availability;

Assists scheduler to receive and process scheduling requests such as vacations and other pre-scheduled time-off requests of all licensed care staff, according to established procedures, collective agreements, and staff availability;

Generates HR reports as requested;

Generates seniority lists quarterly;

Collaborates with other departments to support cross-functional HR initiatives and improve employee experience.

In collaboration with the scheduler coordinates training and development activities, including scheduling mandatory training, tracking completion, and maintaining training records.

Assists in maintaining compliance with employment laws, collective agreements, and internal policies by staying informed of changes and working with HR team on updating procedures accordingly.

Reception back-up;

Other duties as required.

QUALIFICATIONS



Completion of a certificate in HR/related field or equivalent;

Minimum 1 year of HR experience;

Minimum 1 year experience of scheduling licensed care employees in a unionized environment considered an asset;

Strong organizational skills with a high attention to detail;

Ability to multi-task and seamlessly change priorities when required;

Proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook

Preference given to those with experience working in a unionized environment.

Job Types: Full-time, Permanent

Pay: $40,000.00-$50,000.00 per year
