The Opportunity



Reporting to the Supervisor, HR & Data Operations, the HR Assistant provides support to the Human Resources department across a range of HR functions and administrative tasks. This role requires professionalism, discretion, and a high level of confidentiality. Strong communication skills (both verbal and written), organizational ability, attention to detail, and proficiency in information systems and records management are essential.
The HR Assistant must demonstrate broad knowledge of human resources policies and practices and apply tact and diplomacy when handling sensitive matters. Familiarity with post-secondary environments and academic policies is considered an asset. The successful candidate will communicate effectively with internal and external stakeholders to gather and consolidate feedback, while independently managing workflows to ensure timelines are met and processes are followed. A proactive mindset and the ability to take ownership of responsibilities are key to success in this role

The Role



+

HR Operations

+ Triage first level HR inquiries
+ Ensures effective communication internally and externally for the HR team
+ Manages all one-time resolution inquiries received via phone, e-mail, and Fresh, including triaging and/or escalating requests.
+ Contribute to HR knowledge management strategy through the effective use of ticket documentation, tracking, and resolution
+ Support the development and maintenance of HR knowledge articles within SAITNow and SharePoint.
+ Maintain knowledge of organizational and departmental policies and procedures to answer general employee and leader inquiries while adhering to values, practices and procedures
+ Assist with the creation of materials related to HR procedures and policies (e.g. process documentation, letter templates, FAQs, quick-reference cards etc.)
+ Support ad hoc projects within the HR Advisory team (such as diversity initiatives, employee engagement, bargaining negotiations, orientation and onboarding, scheduling investigations and grievances/disputes)
+ Maintain and process employee documentation

HR Administration


+ Acts as a liaison and resource to faculty, staff, students, members of the general public and industry representatives daily
+ Manages office duties such as door access, greets employees and visitors at the front desk and guides them to the meeting rooms when necessary
+ Screens HR correspondence, mail and communications and independently responds or re-routes as appropriate
+ Provides secondary support to the Executive Assistant by tracking and processing invoices, PO payments and reconciliations from the HR Team.
+ Updates the hallway calendar and support the planning and coordination for various events.

Office Management


+ Work in collaboration, effectively communicates with and supports the Executive Office Team as required Manages office supply orders and refilling of necessary items
+ Maintain HR Supplies and manage courier services such as pickups and deliveries to the office
+ Manage the HR meeting room calendars, coordinate and schedule meetings, distributing documents
+ Manages kitchen responsibilities

Qualifications & Experience

Minimum Required

+ Post-secondary education
+ 1-2 years' experience within HR environment
+

Preferred


+ Bachelor's degree in Business Administration, Human Resources or related Business degree
+ Experience in public sector organization
