The Nikkei Seniors Health Care and Housing Society (NSHCHS) is a non-profit charitable organization, dedicated to providing supportive housing for Japanese seniors. The Society operates two residential-living facilities: Nikkei Home, a Supportive Housing and Assisted Living residence, and New Sakura-so, a housing complex for independent seniors aged 55 and over.

Job Summary



Reporting to the Human Resources Manager, the HR Assistant provides administrative and operational support for the day-to-day functions of the Human Resources program. This role ensures efficient HR processes in recruitment, onboarding, employee records, benefits, and compliance. The HR Assistant serves as the first point of contact for routine HR inquiries, and supports special projects to enhance employee engagement, HR systems, and overall organizational effectiveness.

Administrative Support



Maintain accurate employee records, personnel files, and HR databases. Draft, prepare, and update HR letters, forms, and documents (job postings, contracts, orientation packages, performance review templates). Assist with scheduling interviews, meetings, training sessions, and performance check-ins. Support payroll and benefits administration by ensuring accuracy of submitted employee data.

Recruitment & Onboarding



Post job advertisements and coordinate candidate applications. Assist in screening resumes and scheduling interviews. Prepare new hire packages, conduct orientation checklists, and support onboarding activities.

Employee Relations & Communication



Serve as a first point of contact for general HR questions, escalating complex matters to the HR Manager. Track vacation, leave requests, and attendance records. Support employee engagement initiatives, recognition programs, and internal communications.

Compliance & Projects



Help ensure HR practices comply with employment standards, WorkSafeBC regulations, and organizational policies. Assist in tracking mandatory requirements such as criminal record checks, certifications, and immunizations. Provide administrative support for investigations, performance management documentation, and workplace safety initiatives. Participate in HR projects such as policy updates, handbook revisions, or HRIS/system implementations.

Qualifications, Skills, and Experience



Certificate, diploma, or coursework in Human Resources, Business Administration, or related field (or equivalent administrative experience). 1-2 years of experience in an administrative or HR support role preferred; experience in not-for-profit or healthcare settings an asset. Strong organizational and time management skills with attention to detail. Excellent verbal and written communication skills; proficiency in English required. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with HRIS or database systems an asset. Demonstrated ability to handle confidential information with discretion. Ability to manage multiple priorities in a professional and calm manner. Collaborative, proactive, and eager to learn, with the ability to work independently and as part of a team. People person with a positive, can-do attitude and a genuine caring approach for seniors. Interest and knowledge of Japanese culture an asset; ability to communicate in Japanese considered an asset. Ability to build effective and meaningful working relationships internally and externally. Physical ability to perform the duties of the position. Ability to provide a satisfactory criminal record check. Fully vaccinated as per current Provincial Health Orders (if applicable).

Perform other related duties as appropriate and as required.


Job Types: Part-time, Permanent

Pay: $22.99 per hour

Expected hours: 22.5 per week
