The HR Administrator plays a critical role in supporting employees across the organization and ensuring smooth delivery of core HR services, programs, and processes. The HR Administrator will provide hands-on support across various HR functional areas including onboarding, recruitment, benefits, HR operations, and employee experience. This role is ideal for someone who is highly organized, people-focused, and passionate about delivering exceptional service.
Key Responsibilities
Onboarding & Orientation
Coordinate new hire onboarding processes and deliver employee orientation sessions to ensure smooth transition into the organization.
Act as the HR point of contact for new hires to support employee engagement .
Ensure all onboarding materials are maintained and aligned with organizational values and policies.
Recruitment
Participate in the full recruitment process and support hiring managers throughout the process.
Contribute to continuous improvement of recruitment processes.
Employee Support & Policy Guidance
Engage with managers and employees to address inquiries regarding HR policies, procedures, and general HR matters.
Maintain confidentiality and professionalism in handling sensitive HR matters.
Offboarding
Support the offboarding process, including documentation, exit interviews, and final payroll coordination.
Benefits Administration
Provide administrative support for all employee benefits programs, including enrollment and changes, ensuring accurate and timely records.
Act as a liaison between employees and benefits providers to resolve escalated questions or issues.
Ensure compliance with applicable benefit laws and internal policies.
File Management & Recordkeeping
Maintain accurate, updated, and confidential employee files.
Ensure documentation is filed in accordance with legislative and organizational requirements.
Support audits by providing access to complete and organized employee records.
Payroll Support
Support payroll by verifying time-related data and processing employment changes.
Collaborate with the payroll team to ensure accuracy and timely processing of employee pay.
Respond to manager and employee inquiries related to pay, time reporting, and employment letters.
HR Operations
Assist with day-to-day HR administrative operations and service delivery.
Support implementation of new HR systems, program delivery, and process improvements.
Participate in special projects and organization of HR-led events
Prepare applicable employee documentation, including compensation changes, rate increases and employment confirmation letters.
Essential Qualifications:
Post-secondary education with a concentration in Human Resources, or related field.
Minimum of 2 years of experience in a fast-paced HR administrative or coordination role in a unionized workplace is preferred. An alternate combination of education and experience may be considered.
Working knowledge of employment standards, payroll, and benefits administration is an asset.
Proficient in Microsoft Office Suite (Excel, Word, Outlook) and experience with HRIS systems.
Excellent communication and interpersonal skills with a strong customer service orientation.
High level of discretion, confidentiality, and attention to detail.
Ability to manage multiple tasks, prioritize, and work effectively in a collaborative team environment.
