In Your Role You Will



Set up system structures, job hierarchies, and scheduling templates Manage role-based access and permissions across teams Participate in system testing and pre-launch data validation Serve as the main point of contact with the vendor for support and updates Respond to system-related requests and questions from internal stakeholders Troubleshoot errors and escalate system issues as needed Prioritize high-impact or urgent internal service needs (e.g., new program setup, executive hiring) Collaborate with middle management and HR to ensure seamless system performance Lead small-group or 1:1 training sessions for managers and staff Support internal HR team in learning the new system Create or adapt how-to documentation and internal resources for system use Maintain system integrity, data accuracy, and compliance Support internal reporting and funder requirements Own the vendor ticketing process post-launch Ensure the system evolves alongside organizational needs Understand and manage complex hierarchies, workflows, and configurations; anticipate how decisions impact broader functionality. Respond quickly and thoughtfully to internal requests; balance urgency and impact when prioritizing. Explain technical processes in a simple, accessible way; communicate clearly and efficiently with staff at all levels. Be comfortable leading screen shares, creating guides, and helping others learn without jargon or complexity. Be able to pivot quickly, re-prioritize, and operate effectively in a fast-moving environment. Support users through resistance, frustration, or confusion; balances empathy with confidence and steadiness. Be self-directed and proactive; takes full accountability for system health, data quality, and user experience. Assess requests based on urgency and impact; know when to escalate, when to solve, and how to communicate decisions effectively.

The Position




Taproot is seeking an HRIS Specialist to support the full implementation and long-term ownership of a new HRIS platform.



This position will play a critical role in configuring the system, guiding internal stakeholders, and ensuring data accuracy, reporting, and adoption across the organization. The HRIS Specialist will serve as the go-to expert for the platform and will lead the organization through its system transition, while acting as a partner to managers, HR team members, and the vendor throughout implementation and beyond.



This role reports to the Director of HR and will work cross-functionally with the implementation team, managers, and program leaders across the organization.



Schedule:

One (1) permanent full-time position with a weekly schedule of 40 hours. Taproot may consider converting this position to part-time with a weekly schedule of 35 hours which will be discussed during an interview.

Working Monday through Friday to support the organization's 24/7 operations. Flexibility will be offered for hybrid and remote candidates located in Vancouver, BC or Edmonton, AB.

As An Ideal Candidate You Possess



Experience configuring or managing HRIS systems Experience working in a complex, multi-site, and people-centered organization where HR systems need to be adaptive, well-managed, and user-friendly Familiarity with organizational complexity (e.g., multiple locations, varied employee types, regulatory or funding reporting) Experience working with a mix of HR and operations stakeholders Ability to provided training or support to non-technical users and managers Ability to own processes independently and thrive in an environment that values trust over micromanagement
