Our People and Equity division is looking for a HR Representative to join the Employee Relations team. In this busy administrative role you will support a team of Human Resources professionals that provide a broad range of employee relations advice and consultation to managers and supervisors with unionized employees. The Employee Relations team builds and strengthens positive relationships between the organization, union representatives and employees. With a focus on the application and interpretation of collective agreements, the team helps ensure that the long term strategic vision of the City and its service goals are achieved.What you will do?Provide program support and coordination to the Labour Relations functionProvide a variety of program related servicesSchedule, coordinate and confirm appointments, meetings, seminars, training sessionsResponsible for recording and maintaining accurate records for union related mattersConduct and organize research, compiles and summarizes data and statistical information using a variety of computerized systems and software applicationsCoordinate and prepare confidential information, records and correspondence for signatureSearch information on human resources policies, programs and proceduresProvide software related system support for the section/unit, e.g. desktop publishing.Identify and make recommendations regarding needed system changes and enhancements; provides training as requiredCoordinate and prepare necessary materials including grievance and arbitration filesDesign and create forms or templates including promotional materials, presentation slides and manuals to meet program needsRespond to enquiries, requests and complaints/concerns from all levels of staff, clients, union representatives, other government agencies, elected officials or members of the public regarding policies and practicesMay provide and/or process payroll/personnel and other support services related to the business of the UnitPerform other related duties as assignedWhat you bring to the role:Considerable administrative and clerical experience, providing support to a team of professionals in a fast paced, dynamic environment.Considerable experience preparing and formatting standard correspondence, reports, forms/templates and presentation materialConsiderable experience in the use of Microsoft Office (i.e. MS Word, Excel, Access) and the ability to quickly learn other applicable software including SAP/SuccessFactors, GTS, etc.Experience and knowledge of Human Resources and/or Labour Relations operations.Ability to multitask, plan and organize appointments, meetings, interviews and conferences.Excellent organizational skills with the ability to work within time constraints.Ability to work effectively without close supervision.Ability to draft correspondence and reports relating to Human Resources matters.Effective interpersonal skills in order to develop relationships with human resources, other divisional staff (legal, finance, operating divisions) and union officials.Ability to exercise confidentiality, discretion and judgement.Note To Current City of Toronto EmployeesCity of Toronto employees are eligible to apply for the posted job opportunity, but cannot hold two different jobs.
