About The Role
The HR & Payroll Specialist plays a critical role in ensuring seamless HR operations, accurate payroll processing, and exceptional support for our clinical and administrative teams. This role manages the full employee lifecycle from onboarding and credentialing to payroll and compliance maintenance, while contributing to an organized, people-centred HR function.
ResponsibilitiesHR Operations & Support
Manage full onboarding process for physicians, nurse practitioners, nurses, allied-health providers, and administrative staff.
Prepare and administer employment agreements, independent contractor agreements, and related onboarding documentation.
Maintain up-to-date staff credentialing records (licenses, malpractice insurance, CPR, immunization).
Support performance management processes, role changes, and offboarding administration.
Maintain HR systems, employee files, and accurate workforce data for reporting and compliance.
Payroll Management
Manage end-to-end payroll in coordination with the third-party provider.
Prepare, process, and review bi-weekly payroll for all staff.
Administer payroll for multi-jurisdictional regions (Ontario, Saskatchewan, Manitoba, Alberta etc.).
Account for various employment types including part-time, full-time, and contractors.
Verify the accuracy of employee timesheets, salaries, expense reimbursements, and deductions.
Ensure compliance with federal, provincial, and local payroll, wage, and hour laws.
File EHT returns, T4s, ROEs, and other statutory reports.
Process pay changes, bonuses, and off-cycle payments as required.
Payroll Reporting & Support
Reconcile payroll accounts and resolve discrepancies in a timely manner.
Conduct payroll analysis, explanations, and variance reviews.
Administer and maintain payroll systems (e.g., Ceridian) and troubleshoot related issues.
Serve as the primary point of contact for employee payroll inquiries and issue resolution.
Support day-to-day accounting activities such as payroll journal entries and reconciliations.
Compliance & Risk Management
Monitor and track regulatory requirements, certifications, and expiry dates.
Ensure PHIPA and HR policy compliance across employee documentation and data handling.
Maintain workplace health & safety documentation and WSIB claims coordination.
Process Improvement & Growth
Identify opportunities to streamline onboarding, system workflows, and HR documentation.
Support HR policy development and rollout as Perennial expands nationally.
Assist with workforce planning and recruitment coordination as needed.
Qualifications
2+ years of HR and payroll experience, preferably in healthcare, startup or a regulated environment.
Strong knowledge of Canadian employment standards and payroll best practices.
University degree in Business, Accounting, Finance, Business Administration, Human Resources, or a related field.
Payroll certification(s) such as PCP (Payroll Compliance Practitioner) or equivalent (preferred).
Proficiency with Excel/Google Sheets and comfort with data analysis.
Experience with Ceridian or similar payroll systems.
Demonstrated ability to act with integrity, due care, and confidentiality.
Excellent attention to detail, accuracy, and organizational skills.
Strong analytical and communication abilities.
Adaptable team player with a proactive mindset and continuous improvement attitude.
