The Knowledge and Portal Management Coordinator is accountable for maintaining Hydro One\xe2\x80\x99s myHR portal to ensure that content, including procedures/work instructions and knowledge articles, is relevant, up-to-date and user-friendly. The Coordinator helps to establish and maintain best practices for knowledge and portal management to promote quality standards for HR information and support the effective use of myHR. In addition, the Coordinator drives user adoption by continuously monitoring knowledge repository metrics for improvement opportunities and works with relevant stakeholders to implement changes in myHR.

Key Accountabilities

  • Support the Manager with the knowledge management strategy, by developing processes, templates / tools, guidelines, quality standards and criteria to ensure the effective development and maintenance of HR content
  • Maintain the knowledge repository of all HR content in myHR (500+ procedures/work instructions, knowledge articles, portal content etc.) and ensure an effective maintenance schedule to support with ease of access to relevant, up-to-date information for both HR and the business
  • Monitor and manage requests for new content or updates to current content found on myHR, ensuring content is relevant and doesn\xe2\x80\x99t already exist in the system
  • Work closely with content owners to curate or update content in myHR, reviewing drafts from content owners, providing feedback based on predetermined guidelines and quality standards, approving and publishing content in the knowledge base and portal
  • Perform audits and monitor expiring content, working with relevant content owners to assist with updating or unpublishing content
  • Create, run and analyze dashboards and reports on knowledge repository metrics, monitoring usage and user feedback, and proactively identify opportunities for improvement and adoption
  • Work with People Services, Business HR and other HR customer-oriented teams to promote the use of myHR and gather feedback on the user experience
  • Ensure consistency in messaging between myHR and other HR communication channels, working with the Manager, HR Communications, Corporate Communications, and other HR Teams as necessary
  • Research and keep up-to-date on myHR knowledge and portal management best practices and system-related enhancements, updating processes, tools etc. as necessary
  • Promote a knowledge sharing culture within HR by collaborating across HR teams and driving efficient and effective knowledge management processes

Competencies
  • Experience in knowledge management best practices
  • Ability to leverage user experience design principles to influence usability and function of myHR
  • Verbal and written communication skills
  • Attention to detail and project management skills
  • Analytical and problem-solving skills
  • Knowledge of HR systems, and ability to leverage basic technology functionality
  • Knowledge of HR policies, procedures and processes
