The HR Coordinator at ABC Plumbing & HVAC is a hands-on role focused primarily on recruitment, onboarding, and payroll administration for a small and growing mechanical contracting company.
This position plays a key role in attracting, hiring, and onboarding plumbers, HVAC technicians, apprentices, and support staff, while also ensuring accurate payroll processing and smooth day-to-day HR operations. While recruitment is a core responsibility, hiring needs may be project-driven rather than constant, requiring the HR Coordinator to balance recruitment with payroll, HR administration, and people-related support.
Responsibilities and Duties
Recruitment & Onboarding (Primary Function)
Coordinate full-cycle recruitment for all roles, including plumbers, HVAC technicians, apprentices, and office staff.
Post job advertisements, screen resumes, conduct initial phone screens, and schedule interviews.
Proactively source candidates through job boards, referrals, outreach, and trade-related networks.
Maintain organized candidate pipelines and follow up consistently with applicants.
Coordinate reference checks, background screening, and preparation of offer letters.
Support a smooth onboarding experience by preparing documentation, coordinating orientations, and ensuring new hires are set up for success.
Track recruitment activity and basic hiring metrics.
Represent ABC professionally to candidates and support employer branding efforts within the skilled trades market.
Payroll, Compensation & Benefits
Take ownership of payroll processing by preparing and submitting bi-weekly payroll through ADP, ensuring accuracy of hours, deductions, and employee data.
Coordinate payroll inputs from supervisors and field staff and resolve discrepancies as required.
Respond to employee payroll and pay-related inquiries in a timely and professional manner.
Support employee benefits administration, including enrollments, changes, and employee questions.
Maintain accurate and up-to-date records of employee compensation and benefits.
Employee Support & HR Administration
Act as a first point of contact for employees regarding routine HR questions, policies, and procedures.
Maintain accurate, confidential employee records, files, and documentation.
Coordinate onboarding and offboarding processes, including exit interviews and record updates.
Assist with employee engagement initiatives and internal communications.
Escalate sensitive employee relations issues to management as appropriate.
Compliance & Certifications
Support compliance with the Employment Standards Act (ESA), WSIB, and basic OHSA requirements.
Coordinate WSIB reporting, injury documentation, and related records as required.
Track and maintain records of mandatory certifications and training (e.g., Gas Fitter, Working at Heights, WHMIS).
Assist with the development, rollout, and communication of HR policies and procedures.
HR Systems & Continuous Improvement
Maintain HRIS, payroll, and recruitment tracking systems.
Support basic HR reporting and metrics tracking.
Assist leadership with EOS People tools, onboarding checklists, and accountability documentation.
Contribute ideas and improvements to HR processes in a lean, practical way.
Qualifications and Skills
Post-secondary education in Human Resources, Business Administration, or a related field (or currently completing).
1-3 years of experience in HR, recruitment, payroll, or administrative support preferred.
Strong interest in recruitment and people operations.
Comfortable taking ownership and working independently in a small-team environment.
Highly organized, detail-oriented, and dependable.
Ability to handle confidential information with discretion and professionalism.
Proficiency in Microsoft Office and HR/payroll systems; ADP experience is an asset.
Experience or interest in construction, skilled trades, or field-based work environments is an asset.
CHRP designation or intent to pursue certification is considered an asset, but not required.
