At Men's Mental Health Institute, we are a rapidly scaling, mission-driven psychotherapy practice transforming how men experience mental health care.

Regulated by the College of Registered Psychotherapists of Ontario (CRPO) and equivalent bodies across the U.S. and Canada, we specialize in evidence-based programs designed to help men heal from emotional disconnection, relational wounds, and performance pressures.

We're a tight, high-performance team of 8-10 people -- not a bloated corporate machine -- and we're scaling fast. This is not a place for someone who wants a cushy 9-5 job and a slow pace. This is a place for someone who thrives in a fast-moving, results-driven environment and wants to help redefine how therapy is delivered.

The Role


We're hiring a full-time HR + Client Coordinator to become a key player in our operations, client success, and therapist performance. This is a remote position working 9:00 AM - 5:00 PM ET (and occasionally beyond those hours if needed to hit KPIs). You'll split your time across three mission-critical areas: client coordination, HR and administrative support, and therapist operations and accountability -- including high-stakes client follow-ups and closing clients after intake.

What You'll Do



Client Coordination (50%)


- Follow up with new client intakes via email, SMS, and phone to close clients into structured therapy programs -- not just schedule them.
- Handle objection-handling conversations confidently and persuasively without being pushy or scripted.
- Liaise between clients and therapists to ensure seamless onboarding, scheduling, and communication.
- Support the client onboarding experience -- sending agreements, intake forms, and welcome packages.
- Track client progress and update CRM systems (GoHighLevel).

HR & Administrative Support (25%)


- Post job ads, source talent, and screen for A-players who elevate company performance.
- Schedule and coordinate interviews with precision.
- Manage onboarding for new team members (contracts, Slack setup, training access, etc.).
- Support invoicing, payment tracking, and light bookkeeping tasks.
- Coordinate team meetings and prepare agendas.

Therapist Operations & Accountability (Non-Clinical) (25%)


- Ensure therapists comply with all operational protocols, documentation standards, and client communication procedures.
- Proactively follow up with therapists when tasks are incomplete, deadlines are missed, or updates are lacking -- and escalate recurring issues to leadership.
- Develop and maintain reporting systems that track therapist compliance, performance metrics, and operational gaps.
- Address performance issues quickly and directly -- this is a core part of the role, not an optional extra.
- Take ownership of ensuring therapists deliver on their operational responsibilities without needing reminders.
- This is not an optional duty. Previous coordinators failed to enforce therapist accountability -- that will not happen again. If you are not comfortable holding others to high standards and following through until things are done, this is not the role for you.

What We're Looking For


- Minimum 5+ years of experience in HR, client coordination and management roles.
- Proven experience in sales-adjacent client communication -- you must be comfortable following up, handling objections, and closing clients.
- Demonstrated ability to hold teams accountable and enforce operational standards.
- Exceptional written and verbal communication skills in English.
- Highly organized, detail-oriented, and proactive.
- Tech-savvy with tools like Slack, Google Workspace, and GoHighLevel.
- A fixer mentality -- you figure things out, improve systems, and never wait to be told what to do.
- Comfortable handling sensitive client data with (PIPEDA + HIPAA) confidentiality and professionalism.
- Master's degree in psychology, social work, HR, or a related field preferred.

Compensation & Bonuses


- $20-22/hour (Full-Time, 40 hours/week)
- 1-2% performance-based bonus, activated only when 90%+ company KPIs are achieved.

Work Environment & Expectations


- Fully remote position.
- Must be available 9:00 AM - 5:00 PM ET, Monday-Friday.
- Overtime may be required to meet performance goals.
- Fast-paced, results-driven environment -- if you're slow, need hand-holding, or want a comfortable 9-5, this is not the role for you.
