The HR Assistant & Receptionist will be the first point of contact in greeting both internal and external stakeholders and guests. A resourceful self-starter who is energetic, personable, responsible and can multi-task in a fast-paced environment with ease. In addition and as a larger part of the job, the receptionist also takes on various facility management tasks to ensure that the office runs smoothly at all times. Furthermore, the receptionist reports into Human Resources and takes over HR Coordinator assignments for the team.

Qualifications

What You\'ll Do:

  • Welcome all visitors to the Reception area; maintain visitor log
  • Accommodate walk-in applicants and visitors; Assist walk-in applicants with forms and paperwork
  • Manage employee parking and license plate report
  • Manage locker and fob designations and reports
  • Sort and distribute all incoming and outgoing company mail and order postage
  • Work with Building Caretakers to maintain approved visitor access lists and maintenance of vendor list (Cintas carpet, Abell pest control, etc)
  • Ensure reception area is maintained with all necessary supplies and equipment, tidy area daily
  • Ensure kitchen/offices/facilities are stocked with items (stationary, cleaning and pantry items) and clean as necessary
  • Ensures that confidential documents and other sensitive information are handled with appropriate concern for privacy
  • Support the HR function with new hires (welcome new employees, check new hire paperwork, obtain missing information etc.)
  • Assist in preparing new employees\' arrival and first day (create employee ID card, obtain fobs and assign lockers/locker tag)
  • Assist employees with entries in Workday terminal
  • Ensure all forms are printed and available for employees at reception and cafeteria
  • Creating signage for Facilities as needed
  • Monitor attendance voicemail and log calls, work with HR Administrator to log employee absences
  • Complete employee purchase orders and refunds when EPP season rolls around
  • Provides administrative support to the HR department
  • Become contributing member of social committee
  • Other duties as required
Experience and Education:
  • A post-secondary education in Business or Human Resources
  • 1+ years human resources experience
  • Intermediate level with Microsoft Office; Word, Excel and Outlook

  • Strong organizational skills with ability to multi-task and work well under pressure
  • Understand and maintain a high level of confidentiality
  • Excellent technical ability (Word, Excel, PowerPoint, Outlook, HRIS)
