POSITION SUMMARY We are currently searching for an Administrative Assistant/Receptionist to join our team in Thunder Bay, ON. The ideal candidate is organized, detail orientated and welcomes a diverse set of responsibilities. They will help support a variety of engineering teams and executives with different administrative tasks such as reporting, filling, organizing, and creating templates and documents as well as assisting on specific projects. Technical writing skills, and knowledge of spreadsheets using Microsoft Excel is an asset. We’re looking for someone with a positive attitude that is always seeking ways to help with efficiency in order to create a more organized and productive workplace. This is an in-office position (no remote option available). RESPONSIBILITIES Project Team Support (50%)

  • Preparation of various documents, proposals, letters, correspondence, reports, spreadsheets, PowerPoints, presentation materials, etc.
  • Assist with editing and publishing of reports/documents. Coordination of inputs to reports and documents.
  • Development of marketing materials and technical support drawings.
  • Manage and monitor quality control aspects of reports, drawings, and documents.
  • Assist with document control and sending/receipt of formal documents for various projects.
  • Taking meeting minutes for engineering project meetings.
  • Assist in meeting coordination and planning.
Office Administration (20%)
  • Be the go-to person for all things office related: ensure employees have what they need to do their jobs and help them by answering questions.
  • Perform general office administrative duties: filing, ordering office supplies, etc.
  • Assist employees and contractors with weekly timesheets.
  • Maintain the daily upkeep of all common areas; reception, lunchrooms/kitchen, meeting rooms, and copy areas.
  • Assist with the planning, organizing, and coordinating of functions and special events (Client meetings, Social Events, Charitable Events, etc.).
  • Administer safety equipment.
  • Coordinate reports, invoices, billings, and processing expenses.
  • Develop and manage travel requirements, booking of flights, hotels, car expenses, etc.
Reception (30%)
  • Greet and welcome guests at the main reception.
  • Answer the main phone line and respond to general inquiries.
  • Preparation and distribution of incoming and outgoing mail. Manage and distribute email enquiries received through our central email address.
  • Review, approve, and create communications related to news and announcements for email communications.

SKILLS AND KNOWLEDGE
  • Experience in an office management role and/or supporting small teams.
  • Experience providing administrative support to senior level leader(s).
  • Ability to work with sensitive information in a confidential and professional manner.
  • Ability to apply judgment to the applications of policies and procedures.
  • Strong sense of urgency and ability to meet tight deadlines. Dedication and commitment to excellent work product.
  • Effective analytical and problem-solving skills.
  • Ability to learn quickly, be flexible and adaptable.
  • Strong interpersonal skills with the ability to build relationships and cooperate with others.
  • Excellent verbal and written communication skills.
  • Experience in an engineering environment or similar is an asset.
SOFTWARE AND SYSTEMS
  • Advanced knowledge of Microsoft Office Suites (Word, Excel, Outlook, and PowerPoint).
  • Experience editing and publishing documents is an asset.
  • Experience with SharePoint and managing other databases is an asset.
EDUCATION
  • A Business College Certificate in Office Administration or Equivalent.
  • Consideration will be given to engineering or business program graduates.
ADDITIONAL INFORMATION / REQUIREMENTS
  • A requirement of working for Tetra Tech is that you are at least 18 years of age and legally entitled to work in Canada. A copy of a valid work permit may be required.
  • If you are considered for the position, clearance on all applicable background checks (which may include criminal, identity, educational, and/or credit) and professional reference checks is required. Some Tetra Tech positions require an enhanced level of background assessment, which is dictated by law. These positions require advanced criminal record checks that must also be conducted from time to time after commencement of employment.
