Summary

The Sales Coordinator is responsible for actively assisting the Sales Department with proactive selling tactics, marketing, including social media, administration, client contact and follow-up with a consistent focus on maintaining a high level of service and efficiency. This position serves as liaison between the Sales and Catering team members, the Reservations and Front Office team, and other departments at the hotel.

Essential Day to Day Duties & Responsibilities:

  • Manages telephone/email inquiries for the sales department regarding servicing customers, marketing, promotional opportunities, and account qualifying.
  • Provides general office administration including, filing, monitoring and replacement of collateral, office supplies etc.
  • Responds to client requests for meeting and guest room spaces. Creation of proposals, contracts, from lead through booking, Banquet Event Orders (BEO's), contract finalization and up selling, billing and guest satisfaction follow up.
  • Inputs rooming list for group blocks, generate pick-up reports and follow-up on cut-off dates.
  • Works collaboratively with your direct report, Catering Manager and Chef to coordinate all catering events and maximize client satisfaction.
  • Schedules appointments, meetings, and conference rooms for Sales and Catering Team activities as directed.
  • Knowledgeable of menu offerings, event spaces, set up options and audio visual capabilities and other amenities/services for events.
  • Responds quickly to guests' requests/concerns in a professional and friendly manner. Follows up to ensure guest satisfaction.
  • Liaises with Revenue Manager on group pick-up and room release.
  • Ensures methods of payments are in place prior to client arrival. Processes deposits and modifies reservations as required.
  • Prepares and sends welcome card & amenity to VIPs.
  • Sends thank you card after VIPs' or group's departure/meeting with guest satisfaction survey.
  • Reviews comment cards / guest satisfaction surveys, compile date and report back on results to your direct report.
  • Assists with new prospects and target lists, coordinate sales blitzes, and client events.
  • Assists with monthly action plans with the input of your direct report.
  • Coordinates meeting room booking procedures, conduct site inspections, track payments, compiles and analyzes reports relating to wash factors, lost business, sales booking reports, and cancellations.
  • Assists in planning of budgets and programs including advertising, public/media relations, database/direct marketing, sales promotions, event marketing, website, and collateral development.
  • Provides recommendations for personal and staff development and continuously works to maintain a progression plan for the department.
  • Knowledgeable of hotel property, amenities, area attractions and transportation.
  • Prepares for, attends and takes the appropriate actions for weekly/monthly and annual meetings as required by the Direct Report
  • Takes pride in your appearance and position as a hotel ambassador. Follows all department uniform and grooming requirements.
  • Always knows what events and activities are on the day's schedule in the hotel and neighbourhood.
  • Jumps into other ad-hoc duties when your colleagues need your assistance.
  • Communicates effectively and efficiently with all departments in the hotel to work together to deliver the most memorable experience to the guest.
  • Adheres to all brand and company standards, policies and procedures.
  • Other duties as assigned by your direct report.
Knowledge/Skills/Abilities:
  • Enthusiastic, attentive and approachable.
  • 1 - 3 years experience within the hospitality industry with experience with sales, meeting or event planning.
  • Acts with a sense of commitment and integrity, lives with honor, desires success, strives for excellence, and is not afraid of opportunities.
  • Strong leadership and relationship building skills
  • Effective communicator (written and oral).
  • Skilled negotiator.

Certifications Required:
  • Brand and company required training as outlined during on boarding and as identified throughout your employment.
