Job Description

The Guest Services Coordinator oversees all aspects of guest services operations, ensuring exceptional customer experiences and efficient management of staff and resources. The Guest Services Coordinator is responsible for maintaining high standards of service delivery, managing facility access, and facilitating effective communication both internally and with external partners.

Responsibilities:



Manage registrations, rentals, cash handling, and public access procedures. Handle phone calls, voicemails, and emails promptly and professionally. Coordinate pick-ups, drop-offs, and deliveries efficiently. Manage lost and found items within the guest services department. Recruit, train, and supervise part-time guest services staff. Conduct performance evaluations and provide ongoing training as needed. Create and maintain staff schedules, ensuring adequate coverage. Front desk duties (walk ups, phone calls, emails, public access, etc.) Track guest services hours and oversee payroll processes. Communicate updates and information to guest services staff via various channels. Manage the monthly public access calendar and coordinate with the Rentals Coordinator to ensure accuracy. Administer drop-in shinny sessions, including scheduling, payments, and troubleshooting. Balance daily cash outs and maintain accurate floats. Collaborate with accounting to rectify any discrepancies. Process refunds for program withdrawals and rental cancellations. Develop and implement processes to optimize guest services operations. Monitor and update incoming reader board schedules. Distribute schedules to relevant departments and manage changes/updates. Communicate facility hours and closures to tenants and partners. Manage bulletin board advertising, including payments and updates. Provide dedicated administrative support to the Rentals Coordinator and Programs Coordinator during peak seasons. Handle minor hockey invoicing, registration confirmations, and other administrative tasks as needed.

Qualifications & Requirements:



Previous experience in guest services management or similar role. Strong leadership and interpersonal skills. Excellent communication and organizational abilities. Proficiency in cash handling and financial management. Knowledge of scheduling software and Microsoft Office Suite. Ability to work flexible hours, including evenings and weekends as required.
The South Fish Creek Recreation Association (SFCRA) is a not-for-profit organization which manages SFCRA and its restaurant, as well as managing the complex that operates as CardelRec South. We are proud to offer our patrons four (4) ice arenas, (2) gymnasiums, (9) multi-purpose rental/program rooms, a restaurant and a variety of recreation programs. In addition, we have numerous tenants whose services complement our mandate.

We take pride in being an equal partner in the delivery of services and operations with in the CardelRec Complex; a busy multi-partner recreation facility, education and library complex located under one roof in the Shawnessy Towne Centre.
