We are seeking a dedicated and experienced Guest Services Associate to join our team. The ideal candidate will be the first point of contact for our guests, providing exceptional guest service and ensuring a welcoming environment. This role requires a genuine passion for health and wellness and beauty. You will need to have strong interpersonal skills and the ability to build rapport with a diverse clientele and work effectively with the Studio Director and the Aesthetician Team. You will have a proactive attitude with a willingness to take on new responsibilities and always be a team player.

DUTIES



1.

General:



Greet guests upon arrival with a warm and friendly demeanor. Manage front desk operations, including check-ins and check-outs and booking confirmations. Answer phone calls, DMs, Texts, Emails promptly (within 2-hours) using professional etiquette, addressing guest inquiries and concerns. Process bookings, cancellations and changes efficiently while maintaining accurate records. Maintain up to date guest records + waivers. Oversee the schedule to ensure seamless operation of services with multiple practitioners, managing breaks, managing room resources and ensuring no big gaps in the day. Provide accurate information about Sous La's treatments, memberships, booking policies and retail products to help guests make informed decisions. Handle guest complaints with empathy and professionalism, ensuring satisfactory resolutions, seeking assistance from a Manager when needed. Manage inventory of retail products, including restocking shelves and identifying low inventory. Assist in managing billing processes and payment transactions accurately.

Studio Operations:



Collaborate with Studio Attendant and Aesthetician Team to ensure the common areas and treatment rooms are ready for guests. Refer to checklists that are provided. Maintain a clean and organized front desk area to create a positive first impression. Assist with opening and closing procedures, including setting up equipment, turning on/off lights, and securing the studio.

Sales and Promotion:



Become knowledgeable about the treatments and products we sell to effectively promote studio memberships, treatment packages, and retail products to guests to increase sales and guest retention.

Stay informed about industry trends, best practices, and new developments in the health, wellness, fitness and longevity industries.

Assist in marketing efforts by distributing flyers, promoting events, and engaging with guests.

Guest Engagement



Develop and maintain positive relationships with guests by understanding their preferences, needs, and goals.

Identify when guests need personalized recommendations and advice on treatments, products, packages, or memberships and identify the appropriate Aesthetician Team member to have these conversations.

Foster a sense of community among guests and encourage participation in events, challenges, and community initiatives to promote a sense of belonging.

5.

Event Coordination:



Assist Studio Director in planning and coordinating special events, workshops, retreats etc.

Coordinate event logistics, including scheduling facilitators, booking vendors (catering, DJ, florals etc.).

Provide on-site support during events, ensuring a seamless experience for all guests.

EXPERIENCE:



1. Previous experience in guest service, reception, front desk or administrative roles preferred.

2. Strong guest service skills with the ability to engage positively with guests.

3. Ability to multitask and prioritize tasks effectively in a fast-paced environment.

4. Proficiency in computer software (e.g., scheduling software, booking platform, Shopify and MS Office suite). Previous experience with Jane booking platform or Podium an asset.

5. Prior knowledge of wellness practices, medical services or spa services is advantageous but not required.

6. Flexibility to work evenings, weekends, and holidays as needed.

Additional Notes:



Training will be provided on studio procedures, booking software, treatment protocols and product knowledge. This position may involve standing for extended periods and occasional lifting of light objects.

Job Types: Full-time, Part-time

Pay: $22.00-$25.00 per hour

Expected hours: 12 - 30 per week
