The Aava Whistler Hotel is currently looking for it\xe2\x80\x99s new Group Sales & Tour Coordinator. At this time, the position will involve both Group Sales & Meeting training, as well as some work with the Front Desk and Reservations Team. Main Duties:
A service and Sales oriented position, the Group Sales Coordinator will ensure that all client needs and requirements for all groups are attended and surpassed from inception to follow up
Responsible for creating proposals and contracts for all market segments and or directed by the Director of Sales & Marketing
Receive and convert incoming inquiries to achieve targets and maximize revenue
Serve as an on-site Manager to assist with management of Service personnel to ensure implementation of events needs are timely and seamless; a willingness to roll up their sleeves is mandatory
To meet and greet group leaders and work closely with groups to ensure completely satisfaction during their stay - requires a flexible schedule
To follow up on groups after departure for feedback on the success of the group
Prepare group resumes weekly to communicate with Operations with efficiency and clarity
To ensure that all pertinent group details are maintained in the hotels shared drive and noted in the groups profile in Opera
To complete other duties, as directed and required by the Director of Sales & Marketing and/or the General Manager from time to time
Reservations/Front Desk:
Understand all aspects and processing of hotel reservations (creation, changes/modifications, cancellations, etc.)
Processing all reservations, telephone enquiries, and email requests within a 24-hour period
Accurate inputting of reservations or changes/modifications to existing reservations
Entering rooming lists as requested by Sales Department
Ensuring the automatic processing advanced deposits
Identifying up selling opportunities
Ensuring the correct minimum length of stay and deposit/cancellation policies are in place
Ensuring excellent service levels are maintained at all times
Tour Groups:
Tour Group duties will begin in early 2023 and can be discussed at a later date
Requirements:
A dedicated customer service professional that is committed to the highest quality standards
Excellent organizational and verbal skills. Pleasant telephone voice and manner required
Ability to multi-task and handle the details of several projects simultaneously
Creative problem solver and innovative thinker
Minimum 2 years Hotel Sales experience preferred
Proficiency in Microsoft programs, Google Docs., Micros Opera preferred
Must demonstrate leadership ability and team motivation skills
Must work well in high stress situations and maintain composure and objectivity
Able to handle a flexible schedule, overtime and possibility of working 6-7 days a week during high season to accomplish project requirements
Please note that this position will require some scheduling flexibility, as you may be required to assist the front desk on the occasional evening shift Job Type: Full-time Benefits:
