GROUP & EVENTS COORDINATOR



As the Group & Events Coordinator, your primary responsibility is to assess the needs of Nitehawk's guests and ensure that their special events run successfully. The Group & Events Coordinator role involves working closely with various departments to meet all guest requirements. Additionally, you will need to promote our facility to multiple organizations and professional associations effectively. Strong communication skills are essential for this role, as you will interact with team members and guests.



REPORTING RELATIONSHIPS



Reports To: General Manager



Supervises: Volunteers and Team Members assisting in the execution of events



GROUP & EVENTS COORDINATOR-SPECIFIC ACCOUNTABILITIES:



Lead and execute all guest-focused & public events on behalf of Nitehawk Year-Round
Adventure Park

Discuss requirements with guests and take detailed notes about event/function
requirements

Consultation with caterers, chefs or cooks, and bartenders to help them develop
food/beverage menus that meet guests' needs/wants

Prepare quotes for group and event bookings for guests

Determine requirements for the serving team and supplies, and plan for setup and
takedown of event

Maintain proper liquor controls (i.e., tickets) and monitor alcohol service

Room & facility Setup/Clean-up (with help as requested)

Ensure that equipment is adequately cleaned and maintained (i.e., tents, tables, and
chairs)

Follow up with guests after functions to collect guests' feedback, and deal with any
complaints

Identify the objectives of the event and determine the requirements that are needed to
accomplish those objectives (for example, facilities and services)

Meet with trade and professional associations and other groups to promote meeting,
conference, convention, and wedding services and potential research of future sponsors

Recruit, supervise, train, and schedule volunteers/team members for group and private
events

Meet with sponsors and organizing committees to plan the scope and format of events,
establish and monitor budgets, review administrative procedures, and discuss progress as part of event/group sales

Co-ordinate services (for example, catering, signage, displays, audio-visual equipment,
printing; this role may require other services) and deal with any problems that arise

Develop crowd management and risk management systems

Receive and process registrations

Supervise Team-Members and volunteers during the execution of events

Identify the event elements, determine logical sequencing, and develop efficient
schedules

Select sites and co-ordinating building and property services (for example, audio-visual
and technical details, decorations, seating)

Prepare strategies to ensure that the event site complies with all required legislation and
regulations, including those related to health and safety

Source entertainment options

Ensure risk management of all events by distributing material such as registrations
forms, Release of Liability forms, Photo Release Waivers, and all other necessary
documentation

Negotiate rates with suppliers, control expenses, and administer financial procedures

Identify and select appropriate registration, admission controls, and guest greeting
systems for an event

Design and implementing public relations campaigns; promoting sponsorships and
facility rentals

Prepare and distributing event meeting minutes

Assist in communication strategies and programs designed to inform staff, guests, and
the community of Nitehawk Year-Round Adventure Parks events and projects

EDUCATION AND EXPERIENCE:



Graduate or current student of public relations, event planning, or marketing program
from a post-secondary institution.

High School Diploma

3+ years of experience working similar role

Clean Class 5 driver's license

Knowledge of Word, Excel, and Google; forms, sheets, and docs

Ability to use Survey Monkey and Canva

Pro-serve Certification & Food Safe

SKILLS, INTERESTS, AND VALUES



Proven experience with a minimum of 3 years in management positions in the event management, project management, customer service, business development, or sales-related work Have an outgoing, energetic, and friendly personality Show commitment to exceeding guest expectations at all times Well-developed interpersonal skills to deal effectively with a variety of people. Ability to organize goals and define projects through analytical thinking, problem-solving and decision-making skills Enthusiastic with a passion for the outdoors Organizational skills to handle the administrative functions of the position Ability to remain composed when faced with unexpected problems and stressful situations Ability to work in a fast-paced consumer-driven environment and make responsible decisions quickly Team player and willing to help in other areas as needed

WORKING CONDITIONS



Expect to work mainly outside during events; possibly during inclement weather conditions. Prep work will be both indoors and outdoors. The length of a working day may vary depending on how busy the area is or deadlines with timelines and needs for the success of a particular project May lift, push, pull, or carry items weighing up to 35 pounds on an occasional basis Prepare to work in inclement weather conditions. Ability to supply your own appropriate outerwear. Nitehawk Year-Round Adventure Park will endeavor to provide branded outerwear when available

HOURS OF WORK



This position is Full-Time. Approximately 30-44 hours per week Hours will include working weekdays, weeknights, weekends, and holidays Hours may increase depending on the timeline of the events
Job Type: Full-time

Pay: $22.00-$25.00 per hour
