Job Description

The following is the job description for the Grounds Keeping Manager position related to the landscape maintenance industry. It is Oakridge Landscape Contractors' responsibility to provide our clients with premium services. We expect that our Grounds Keeping Manager will ensure that janitorial, maintenance and snow divisions operate and function as needed to meet contractual obligations. The below is intended only as a general description and should be considered as a minimal in order to fulfill this job role. Job duties are subject to job role additions and changes at any time.

QUALIFICATIONS AND REQUIREMENTS:

Five years or more of experience as a Property /Facility Manager. Extensive knowledge of Landscape Maintenance, Janitorial and Snow removal services. Excellent oral and written communication skills. Competence with office management software. Valid driver's license with a good driver's abstract. Strong knowledge of local laws and regulations as they pertain to this job function. Solid understanding of project costs. Recognize and follow occupational hazards and standard safety precautions.

ADDITIONAL SKILLS REQUIRED:

Ability to negotiate with sub trades, owners, engineers, architects, inspectors and suppliers. Skills required to develop lasting relationships with clients and be able to develop new business through both new and existing clients. Strong multitasking skills to manage multiple projects simultaneously. Effective time management to prioritize and meet deadlines across tasks. Ability to establish and maintain strong working relationships with fellow coworkers and can inspire other employees to meet goals and work as a strong team. Proven dedication and motivation. Ability to make quick, smart decisions. Working knowledge of MS Office.

SAFETY:

Health and Safety is an utmost concern at Oakridge Landscape Contractors, and it is your responsibility to be completely familiar with our policy and procedures. Be completely familiar with OHSMS and ensure that all sites are continually safe. Take immediate action to rectify any hazardous conditions and report such back to Oakridge. Communicate with superintendents to ensure each member of your crew is aware of site dangers. Communicate with superintendents to ensure that all team members have the appropriate safety gear. Communicate with superintendents to ensure that all onsite tools and equipment are safe and well maintained. Communicate with your superintendent to ensure red tags are available (see red tag policy) when tools and equipment need repair or are faulty. Communicate with your superintendent to fill out the proper repair book for any damaged tools and equipment. Communicate with your superintendent to ensure safety pylons are on-site to mark off work areas and vehicles. Communicate with your superintendent to confirm the work site is left in a clean and safe condition at the end of each day. Communicate with your superintendent to verify that the job site always has a first aid kit and fire extinguisher, inspected monthly as per policy. Active participation in site and Oakridge Landscape Contractors (OLC) Yard safety compliance, including safety drills. Coordinate with HR to confirm all staff have completed all required training.

GENERAL JOB RESPONSIBILITIES:

Manage all Grounds Superintendents and support staff. Visit sites regularly. Manage and direct all functions related to janitorial, grounds keeping and snow removal operations. Time is always of the essence. All works under this job description must be completed in a high quality yet timely fashion. Site visibility is a critical aspect of this position. Maintain clear communication with your superintendents to ensure regular visits and site inspections are completed to ensure they meet and exceed client expectations. Conduct spot checks as needed. Regularly report to clients with respect to the condition of the property. Reporting should be done both verbally (telephone or in person) with a hard copy follow up (email, letter or fax). The hard copy must be placed in the project folder as it may be used for future reference such as liability issues. Ensure that all job binders and folders are updated and current through support staff. Attend and participate in daily and weekly scheduling meetings. Make recommendations on raises, promotions, and dismissal of related staff. Keep the project list and target list current. Ensure all targets are met throughout the divisions with the assistance of your assistant manager. Maintain and understand all contractual agreements. Ensure that contracts are reviewed and are properly sent through internal tracking system. Review and manage all extra projects related to this job function. Act on new leads and solicit new clients (contracts). This will involve estimating and negotiating. Continually grow the grounds department through relationship building and following leads (BidnGo) and follow-up on contract renewals. Be attentive to clients and always use the 24 hour rule as a minimum for response time. Emergency back up contact (24hours) for Superintendents, for emergency issues. Keep materials available to your team at all times (ex: garbage bags, cold patch, salt and sand). Be familiar with job descriptions of positions supervised. Ensure that your division is profitable. Negotiate and purchase materials and sub trades as required. When using sub trades always get 2-3 estimates. Always ensure that all of your invoicing, monthly, t and m, lump sum, extras, etc are invoiced. Participate in all insurance claims pertaining to this department.


JANITORIAL:

Ensure that properties are clean and safe at all times. Report all unsafe situations to the owners immediately via phone and email. All emails are to be filed in the project binder. If areas are deemed unsafe take temporary action to protect tenants and pedestrians from any harm and to protect both OLC and the owners from any liability claims. Fully understand the obligations of each site (contract) as the requirements might change from one location to another. Estimate and manage all extra work as requested by the property owner. Maintain a set of emergency sub trade contacts such as plumbers, electricians etc. Ensure that all monthly contract work and any extra work is invoiced. Maintain good, positive and pro active relationships with the site tenants. This includes ensuring that you have met with all of them and that they have your business card so as they can reach you should they have issues to be dealt with.

GROUNDS KEEPING:

Ensure properties meet both OLC and our clients standards with regards to the appearance of things like planter beds, trees and turf areas. Ensure maintenance trailers are stocked every spring and stored at the end of season. Ensure that sub trades for herbicides and fertilizers are arranged and monitored. Report to the owner any grounds keeping concerns and issues. Responsible for assisting in the hiring of groundskeeping staff, including the recruiting process and assembling crews. Report any grounds keeping issues to the owners immediately via phone and email. All emails are to be filed in the project binder. Fully understand the obligations of each site (contract) as the requirements might change from one location to another. Ensure that all monthly contract work and any extra work are invoiced. Create yearly Grounds Maintenance schedule and manage hours. Update and keep current the daily work schedule for the grounds keeping division. Create and follow pricing summaries and provide clients with updates in a timely fashion.

SNOW REMOVAL:

Manage snow and ice operations, create snow schedule, manage hours, sub trades and materials. Ensure that properties are safe at all times. Report all unsafe situations to the owners immediately via phone and email. All emails are to be filed in the project binder. If areas are deemed unsafe take temporary action to protect tenants and pedestrians from any harm and to protect both OLC and the owners from any liability claims. Fully understand the obligations of each site (contract) as the requirements might change from one location to another. Prior to the snow and ice season, meet with each client and decide on snow pile locations and pile heights. This should be documented on a plaza or site plan. Ensure that snow videos are completed and submitted as per company policy. Estimate and manage all extra work as requested by the property owner. Maintain a set of emergency sub trade contacts such as tractors, snow plows, salt suppliers etc. Ensure that all monthly contract work and any extra work is invoiced. Manage the weather binder as per policy.
