The Community Initiatives Fund (CIF) Grants Coordinator is responsible for the successful delivery of the CIF's Community and Summer grant programs. As a member of a small but dynamic staff team, the Grants Coordinator will work closely with the Program Manager to ensure the effective administration of all processes associated with CIF's grant programs, ensuring grants are administered in adherence with the CIF's strategic and policy directions, vision and values, and procedures outlined in the CIF Grants Administration Manual.
THE POSITION:
Core responsibilities of the position include:
Grants administration
Working collaboratively with the Program Manager, administer all aspects of the CIF's grant programs;
Respond to inquiries regarding grant programs and eligibility criteria;
Assist grant applicants and recipients through all phases of the grant process;
Administration of all grants - receipt and review of grant applications including follow-up with applicants as necessary; issue notification letters; issue and receipt of funding agreements; processing payments; receipt and verification of final reports; record keeping; data input; regular follow-up on late final reports; processing of grant appeals and grant and money returns.
Identify areas of enhancement for program guidelines, administration processes, and the grants management platform (Fluxx).
Peer Review Committee support which includes providing reports, attendance at meetings and committee orientation, documentation of review comments, and assisting with meeting logistics as required.
Organizational
Coordination with CIF's financial services provider for payments and returns, and support of the annual audit process as required.
Preparation of reports for the CIF Board, staff and Ministry as required.
Provide information to the Communications Coordinator to assist in promotion of the CIF.
Participate in CIF evaluation or research initiatives or other projects as required.
Represent CIF at stakeholder meetings, displays and events, conduct presentations, workshops, etc.
Maintain regular communications and positive relationships with partners, stakeholders, etc.
Contribute to the Board's strategic planning, staff operational planning, communications planning, etc.;
Participate in Board, committee, and other meetings as required;
Assist in the daily operations of the CIF office.
Qualifications
Grants administration and adjudication experience;
Post-secondary education degree or diploma and/or experience in a related field;
Demonstrated ability to develop and maintain positive stakeholder relationships with a broad variety of audiences;
Excellent written and verbal communication skills;
Knowledge of community-based organizations and the nonprofit sector;
High level of comfort and experience with technology including databases, Microsoft Office365 (especially Excel), DocuSign, and other software;
Ability to effectively manage a large volume of work at peak times;
Knowledge of and experience in community development, project management, grant writing, etc.;
Experience working with volunteers;
Ability to work independently and as part of a team;
Valid driver's license and use of personal vehicle.
