Job Description

POSITION SUMMARY:



Turning Point Society employs a collaborative, multidisciplinary team that works together to promote healthy responses to HIV & other STBBI's through support, education, and research. The Grants & Funding Manager plays a crucial role in the administration of funding and data collection as relates to our contracts and agency needs. This position is responsible to contribute to the full grant life cycle including searching for, applying to, reporting on and otherwise administering grant contracts as well as supporting projects, fundraising, donations and other funding opportunities. Additionally providing vital support to the Executive Director as well as the broader management team, contributing to the smooth operation of the organization's essential services.

KEY RESPONSIBILITIES:



Grant Cycle:

Participate (with direction from the Executive Director) in the full grant life cycle including but not limited to : research, applications/grant writing, communications, data collection, reporting and analysis.

Relationship Building & Communications:

Seek to improve and expand agency relationships with stakeholders and partners for collaborations and potential funding opportunities.

Compliance:

Assist with ensuring data collection reflects outcomes in contracts; support program implementation that supports identified outcomes

Projects & Fundraising:

Support full cycle project funding and the development of efficient and productive fundraising efforts including an annual fundraising event

Donations

: Improve annual donation funds through identifying areas of opportunity and improving stakeholder relationships

Confidentiality & Professionalism:

Handle sensitive information related to funds, clients, staff, and organizational operations with discretion, acting as a key face of the agency with the utmost professionalism.

Grant Cycle Management:



Full Cycle:

Identify, research, write/apply, administer, report and analyse full cycle grant funding.

Maintain Accurate Records:

Maintain online and physical file systems for all funding

Scheduling & Managing Reporting:

Identify, schedule and manage all key deadlines such as reporting for each funder; coordinating with the Executive Director and team leads to ensure timely submission of required documentation. Take the lead on the body of reporting work with support from program staff.

Budgeting

: Provide analysis and insight into funding usage as relates to grant requirements and original budget submissions

Data Collection:

Research and administer accurate data collection systems to ensure grant obligations for reporting are met & exceeded; in collaboration with Executive Director and team leads

Audit Support

: Assist with the annual audit by organizing, preparing, and scanning required documents as requested. Answer questions about grants to auditors including surplus/retentions, documentation and more.

Project Funding, Fundraising, Donations:



Full cycle

: Identify, research, write/apply, administer, report and analyse full cycle project funding opportunities

Fundraising

: Lead an annual fundraising event in collaboration with the leadership team and staff; liason with partners and stakeholders for maximum participation. Identify other short term and long term fundraising opportunities and work to complete those tasks start to finish also.

Donations

: Work to increase our annual monetary and in kind donations through relationship building with potential and current donors

General Administrative Support



CONTRIBUTE TO THE ORGANIZATION'S MISSION: Provide general support to the agency, including routine cleaning, food preparation and other duties as required.

SUPPORT FRONTLINE STAFF: Provide support to the leadership team and staff delivering programs and services, ensuring smooth coordination across teams.

OTHER DUTIES AS IDENTIFIED: Collaborate with the administration team on document, data and file management with respect to funding, contracts and reporting. Participate in agency events and objectives with a willingness to help where needed.

QUALIFICATIONS:



EDUCATION



Post-secondary education, particularly a degree in a related field is an asset. Will consider a combination of education and experience

EXPERIENCE



2-5 years of grant management & non profit experience, preferably in a health or social services environment. Proven history of successful funding initiatives.

SKILLS



Strong organizational, project management and multitasking abilities.

Proficiency in Microsoft Office (Word, Excel, Outlook) and data collection programming especially Sharepoint is an asset

Excellent communication skills, both written and verbal.

Ability to maintain confidentiality and handle sensitive information with discretion.

Attention to detail and accuracy in data entry and record-keeping.

Problem-solving skills and ability to work in a fast-paced, dynamic & multi-disciplinary environment.

Resourceful, collaborative, self starter with a strong work ethic.
