In this essential role, you will provide a broad range of administrative and front-line services to students, faculty, and staff, ensuring that our students receive the guidance and support they need from admission through to graduation.



What You'll Do:


Coordinate and provide office and staff support to the Dean, Associate Dean, Faculty Administrator (FGSR) and others as required, including but not limited to scheduling and rescheduling meetings, answering e-mail and telephone inquiries, greeting and directing visitors, etc. Serve as a primary point of direct administrative contact and liaise with other offices, individuals, and external institutions and agencies on a range of day to day issues. Post, balance, monitor, and reconcile monthly ledgers, budgets, and financial reports; process account transactions relating to Finance Banner; handle the purchasing process including payment authorization; monitor, maintain, and reconcile records of expenditures and revenues. Coordinate and oversee the management and re-stocking of supplies, equipment, and facilities for the unit, including maintenance, inventory management, logistics, security, and related activities. Compose and edit written documentation and correspondence; screen and evaluate incoming and outgoing correspondence and prepare responses as appropriate. Provide guidance and advice on program admission requirements, program and course offerings, registration procedures, thesis/defense and graduation procedures, and scholarships. Manage FGSR's smart board and iPads and guide students online with respect to appropriate request forms, policies, etc. Responsible for monitoring, maintaining, and updating student accounts, including but not limited to managing charges for FGSR related services, verifying authenticity of admission documents before uploading documents to student's official record, archiving and/or shredding processes of graduate student files, etc. Oversee the completion, signing, and official verification of a variety of forms required by governments, financial institutions, etc. Assist the Convocation Specialist in preparing graduation lists and records, processing of graduation documents into Banner, and providing support at the convocation ceremony. Assist with student program auditing and administrative reports. Review and prepare all requests for letters from students on a wide variety of issues. Manage fixed assets, purchases, recording of assets, and annual review of assets. Provide support in the coordination of special arrangements managed by the Dean or Designate. Gather, enter, and update data to maintain departmental records and databases; establish and maintain files and records. Prepare statistical reports required by the Faculty Administrator (FGSR).

Position Requirements

What You'll Bring to this Position:

Grade 12 with the successful completion of recognized business course(s) Minimum of three years' related experience. An equivalent combination of education and work experience may be considered.





Skills That Will Ensure Your Success in the Role:


Demonstrated knowledge and skill in the use of Microsoft Office (Word, Excel, Access, and Outlook-GroupWise), web development and other complex databases, such as Banner and Caspur, is required. Demonstrated customer service skills and ability to accurately respond to incoming inquiries from highly diverse backgrounds. Ability to organize multiple tasks and meet deadlines while maintaining accuracy and attention to detail. Demonstrated ability to inquire and define problems, analyze, evaluate, and interpret information in order to identify possible solutions. Understanding of the programs and services offered through the Faculty of Graduate Studies and Research as well as University academic regulations and processes. Ability to communicate effectively, both verbally and in writing. Ability to understand and execute oral and written instructions. Ability to create, compose, and edit written materials. Knowledge of University policies and procedures. Skill in the use of operating basic office equipment. Ability to understand and comply with University health and safety requirements and all safe work procedures and practices application to this position. Ability to identify and report unsafe acts, workplace hazards, and incidents that result (or could result) in injury, illness, or environmental damage. Ability to work and encourage others to work and act safely. Completion of some undergraduate university courses would be an asset.
Physical Demands Pay Grade CUPE Phase 4 Salary Range 44,262.40 to 59,768.80 annually Status Term Work Hours
Monday through Friday 8am-4:30pm
