MacEwan University is seeking two Governance Coordinators for full-time continuing opportunities with the Office of University Governance (OUG). As a member of the OUG, and reporting to University Secretary, you will be responsible for supporting the day-to-day administrative activities of the Board of Governors and its Committees (Board) and the General Faculties Council and its Committees (GFC). You will support the implementation of governance processes within the university's bicameral governance framework, as well as serve as the administrative contact for the OUG.
Key responsibilities include:
Assisting the University Secretary in all operational aspects of governance;
Managing meeting logistics for the Board and GFC including scheduling meetings, room booking, catering, circulation of materials, reports, agenda packages, and minute taking;
Preparing necessary presentation materials, documenting and following up on actions and decisions from meetings, and updates work plans;
Coordinating and screening correspondence to public and stakeholder inquiries and escalating issues to the University Secretary when necessary;
Managing general office administration, including maintaining board records and up to date contact information, preparation of expense claims, paying invoices, ordering office supplies, electronic filing and other administrative functions;
Preparing expense reports for Board members and Director, preparation of PeopleSoft access forms (HR, time management, finance), including P-card and expense claims;
Ensuring that the university retention guidelines are adhered to regarding the management of records from the Board and GFC, including destruction, documentation and processing of files, recommending processes to ensure proper adherence and advising executives, faculty and staff on best practices in relation to retention of governance documents;
Providing feedback on OUG administrative policies and is responsible for implementation of these policies and procedures;
Maintaining website content and databases including but not limited to Asana, Diligent, PeopleSoft, other databases;
Monitoring all email accounts and calendars related to the OUG, responding to, or directing inquiries;
Planning and coordinating travel for the OUG and Board; and
Coordinating and supporting the implementation of various events, including but not limited to meetings, retreats and other university events.

QUALIFICATIONS
A minimum of a diploma with a focus on administration and project management.
A minimum of 5 years of progressively responsible administration experience at a senior executive administration level.
A minimum of 3 years of experience supporting a role with direct reporting to a board.
A working knowledge of PeopleSoft, Google applications and board portal technology would be of value.
Experience with records management, communications and research techniques would be considered an asset.
Experience with Microsoft Office Suite and Adobe Acrobat Pro.
An equivalent combination of education and experience may be considered.
