Manage the tournament work plan, timelines, and critical deadlines.
Coordinate with the host golf course on logistics, schedules, catering, and tournament setup.
Organize tournament format, contests, on-course activities, and post-golf program (dinner, awards, etc.).
Ensure compliance with venue and safety requirements.
Sponsorship & Stakeholder Management
Engage past sponsors to confirm their interest in renewing sponsorship for the upcoming year.
Secure sponsorships to meet revenue targets and event budget requirements.
Collect sponsor logos, coordinate signage production, and ensure branding deliverables are fulfilled.
Liaise with sponsors to confirm hole activities, equipment, and volunteer participation.
Provide clear communication and excellent client service to sponsors, partners, and participants.
Volunteer & Team Coordination
Confirm event volunteers.
Coordinate volunteer assignments and ensure sponsors' volunteers are prepared for day-of duties.
Work collaboratively with internal staff to support event delivery.
Marketing & Communications
Coordinate event materials including signage and programs
Administrative
Conduct post-event reporting, evaluation, and recommendations for future improvements.
Qualifications.
Minimum 2-3 years of experience coordinating events, preferably large-scale fundraising or sporting events.
Strong organizational, time management, and multitasking skills with attention to detail.
Excellent communication and relationship-building abilities.
Comfortable working with budgets, contracts, and vendors.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint); experience with event or CRM software an asset.
Ability to work flexible hours, including early mornings and evenings on event day.

This is a contract position - with ability to work in the UDI office or remote or a hybrid of both.
The duration of the contract will span 4 months- Feb to June- however, the hours will vary per month with the deliverables having hard deadlines to meet each month.
The total hours will be in the range of 150 to.200 hours total over the 4 months.
