We are seeking a full-time Fundraising and Communications Assistant (12-month contract) who will play a pivotal role in ensuring the success and goals of the Schlifer Clinic's Fundraising Department are met, including but not limited to fundraising activities, fundraising and cultivation events, fundraising initiatives, foundation, corporation, and donor appeals, etc. Additionally, the position will support the overall Communications needs of the organization, including website maintenance and social media activity.
DUTIES AND RESPONSIBILITIES
Fundraising Assistant (0.6 FTE)
Reporting to the Director of Resource Development or her designate.
Maintain and update donor records with accuracy and confidentiality
Process donations and issue timely acknowledgments and receipts
Monitor online giving platforms (CanadaHelps, OLX) and ensure data integration
Prepare data reports, queries, and exports for campaigns and stewardship
Support monthly reconciliation and reporting with the Finance team
Fundraising and Resource Development
Support the fundraising department with special and virtual events including all administrative tasks such as solicitation letters, invoicing, follow-up letters and emails, acknowledgment letters, event listings, tracking ticket sales, researching, soliciting prospective donors, coordination of in-person fundraising event volunteers, coordinating and scheduling event committee meetings (as required)
Create visually appealing social media and digital content and promotions for fundraising campaigns, events and initiatives
With the support of the Manager, Special Events and Volunteers plan, coordinate, and execute two peer-to-peer fundraisers annually (Summer Back to School and Giving Tuesday). This includes creating a campaign plan, recruiting new volunteers, outreach to past volunteers, facilitating volunteer orientations, creating social media content calendars for volunteers and the Clinic, and using CanadaHelps to create an appealing fundraiser campaign page
Support the Manager, Special Events, and Volunteers with peer-to-peer fundraising, third-party event applications, third-party event hosts, etc
Prepare internal and external solicitation fundraising packages for major gifts, foundations, and corporations
Prepare detailed and specific reports needed for reporting (such as social media statistics, and volunteer hours)
Draft, edit, and/or format a variety of documents and communications for internal and external communications such as emails, letters, manuals, toolkits, flyers, training materials, and reports
Respond to telephone, letters, and e-mail inquiries for fundraising and volunteer as needed
Maintain and organize the Fundraising SharePoint
Volunteer Program Coordination
Respond to inquiries and applications from fundraising/event volunteers
Support volunteer recruitment, orientation, and tracking of hours and activities
Communications Support (0.4 FTE)
Reporting to the Manager of Executive Office
Clinic Communications Support
Media Relations and Outreach
Liaise with traditional media outlets to support coverage of Clinic events, campaigns, and advocacy initiatives
Draft and distribute press releases, media advisories, and backgrounders
Maintain and update media contact lists and track media engagement
Support media monitoring and compile press clippings for internal reporting
Content Development and Storytelling
Contribute to the development of the Clinic's quarterly newsletter and annual report, including writing, editing, and layout coordination
Draft compelling content for donor communications, advocacy campaigns, and survivor-centered storytelling
Collaborate with internal teams to identify and develop stories that reflect the Clinic's mission and impact
Digital and Social Media Engagement
Create and schedule engaging content across social media platforms (Instagram, Twitter/X, Facebook, LinkedIn)
Monitor online engagement, respond to comments/messages, and support community building.
Develop content calendars aligned with fundraising and advocacy campaigns.
Track analytics and prepare reports on digital performance.
Internal and Cross-Team Communications
Support internal communications efforts including staff updates, event promotion, and cross-departmental messaging
Collaborate with program teams to ensure consistent and aligned messaging across platforms.
Assist with multimedia content creation (graphics, video clips, infographics) for campaigns and events
MINIMUM QUALIFICATIONS
University degree or College diploma or equivalent/relevant experience with a minimum of 3 years in fundraising and event management and communications/marketing, preferably in the charitable/non-profit sector
Experience working with Raisers Edge NXT; high degree of comfort with using a donor database with a minimum of 3 years of experience
Experience working with online fundraising solutions for online giving such as Canada Helps
A proven track record for donor stewardship, coordinating campaign efforts, and working collaboratively with a variety of stakeholders on strategies to increase the level of engagement of donors and sponsors. Ability to connect with donors via telephone, email, etc. Comfortable soliciting and stewarding donors and sponsors
Experience in grants, foundations, and corporation applications
Able to use a high degree of discretion regarding donors and other fundraising information
Understanding of current and emerging best practices in stewardship and donor engagement.
Demonstrated superior written communication skills, prospect and donor research, proposal writing skills, and major campaign planning
Experience with a wide range of communication methods including press and social media platforms and social media management tools such as Sprout Social.
Experience with creating compelling written and visual content for social media platforms
Proficiency in the use of Microsoft Office applications (Outlook, Word, Excel, PowerPoint) and graphic design tools such as Canva
Excellent organizational, project planning, and time management skills, with demonstrated ability to manage multiple tasks and flexibility in meeting shifting demands and priorities.
Exceptional oral communication, presentation, negotiation, and relationship management abilities to engage and successfully work with partners, supporters, and senior volunteers
Outstanding administration skills
Ability to maintain positive, respectful, and professional relationships with team members, community partners, and other stakeholders, welcoming diverse perspectives, and ideas
Excellent interpersonal skills with a strong sense of diplomacy and demonstrated ability to build strong, collaborative relationships

SALARY RANGE
: $47,320 annually. The position includes a comprehensive health and dental benefits package offered through a group plan as part of our United Way membership, upon successful completion of the probationary period.
