Reporting to the Development Manager, the Development Administrator supports the GTHS Fundraising and Development team to achieve campaign goals that make a lasting impact on the wellbeing of pets and people. The Development Administrator is responsible for maintaining and optimizing the donor database and administrative systems, and for assisting with the coordination, execution, and improvement of donor-focused processes such as prospect research, acquisition, gift processing, tax receipting, stewardship, recognition, retention, and communications.

Roles and Responsibilities
Balances workload on administrative tasks as required by the Development Manager, Campaign Manager and development team.
Enter, maintain and update donor records in donor database (Raiser's Edge NXT), which includes:
Ensuring that all contact information, data and communications related to prospects, donors, and donor recognition is recorded, up-to-date and accurate.
Updating notes and actions and ensure all connections/relationships are assigned.
Regular maintenance of database to ensure accuracy and efficiency.
Generate reports, lists and segments from the database to assist in campaign progress reports, mailing lists, and donor communications and relations.
Build and maintain a pipeline of prospective donors and community supporters with research and administrative support.
Ensure timely acknowledgement of all gifts and pledges and participate in stewardship activities such as writing thank you cards, phone calls, reports and donor events.
Administrative assistance to prepare, distribute and record pledge reminders, gift agreements, agendas, minutes and other documents.
Responsible for managing general fundraising email inbox, receiving and tracking donors. Manage follow up efforts including the printing and mailing of welcome/thank you letters, planned giving mailings and other deliverables.
Event support for fundraising and capital campaign events, as needed.
Boost development team efficiency by optimizing workflows, tools, and software, tracking action items, assisting in scheduling needs and coordinating activities.

Qualifications
Advanced skills in MS Office Suite (Outlook/Word/Excel/PowerPoint).
Post-secondary education, in a related field (Fundraising, Nonprofit Management, Philanthropy, Business Administration or Commerce, Communications, or Data Analytics) or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
2+ years of experience in database management, experience with Raiser's Edge NXT software
2+ years administrative experience preferably in a fundraising or animal welfare environment.
Detail oriented with a commitment to accuracy, competency, and life-long learning.
Self-motivated, high energy, results oriented with the drive to exceed expectations.
Outstanding verbal and written communication skills.
Knowledge of the principles of effective donor cultivation, direct mail, digital campaigns or social media OR a willingness to learn would be an asset.
Demonstrated ability to engage, cultivate and steward strong relationships with donors and internal stakeholders
Desire to provide exceptional donor experiences and interactions.

Working Conditions
This role requires work with animals on-site (feline and canine) in a high-volume shelter environment. This position necessitates regular contact and some hands-on work with animals of diverse breeds, sizes, and behaviors. The work environment inherently contains common animal-related allergens, including but not limited to fur, dander, and cleaning agents. This role also requires prolonged sitting (up to 8 hours/day), computer usage for extended periods, as well as standing, walking, bending, and lifting up to 30 pounds as necessary. Additional duties may include performing physical tasks related to animal handling, cleaning, and general facility maintenance. This role may require working alone and closing the animal centre. As such, you are able to perform all the essential duties of the position in such an environment.
