Position Overview:

Reporting to the Manager, Community Relations, the Fund Development Administrator is responsible for the administrative tasks related to the Community Relations strategy. This includes managing donor records on the DonorPerfect database, ensuring data accuracy and reporting, and supporting analytics for strategic decision-making. A key deliverable is to maintain strong information management and donor relations systems.
Key Accountabilities:

Data Management & Analysis (60%)
Maintain donor database and related data files (i.e., data entry, data integrity, reporting, financial tracking, generating reports and distribution lists).
Evaluate and analyse data from DonorPerfect to inform decisions supporting strong donor stewardship and prospecting. Specifically, running regular reports and providing evidence-based recommendations to the Manager, Community Relations that progress the agency's:
+ Major gifts strategy
+ Lapsed donor strategy
+ Moves management/donor engagement strategy
+ Communications strategy Automate processes for efficient systems management and timely report
Support the implementation and coordination of fundraising and donor processes according to industry best practices to build internal staff capacity. This includes procedures documentation and coordination of thank you calls performed by leadership and board members
Proactively identify and analyze data trends
and patterns that influence fundraising strategy
Fund Development Administration (30%)
Liaise with Finance Department in monthly reconciling of Kindred and UP donations and using reconciled fundraising data for reports.
Lead annual fundraising audit to ensure that all actions are held to the highest standard and adhere to
Association of Fundraising Professionals' Code of Ethical Standards and The Donor Bill of Rights;
Imagine Canada's Best Practices Standards; and
Canada Revenue Agency's best practices.
Support with coordinating mailings (communications or fundraising appeals)
Support event/campaign logistics
Act as primary department liaison with internal departments to ensure effectiveness of fund development administrative processes, information flow and accuracy of fundraising and donor management and tracking.
Liaise with Executive Assistant in CEO-signing requests, and support in learning Kindred and Board procedures.
Support the intake and processing of donations to the agency through exemplary donor stewardship, including tax receipting and drafting thank you letters.
Manage gifts-in-kind inquiries from gift acceptance to logistics to tax receipting
Organizational Collaboration and Professional Development (10%)
Participate in team meetings and organization committees to strengthen collaboration across divisions.
Lead a philanthropic culture across the agency that integrates Community Relations and other divisions/teams of the organization to achieve fundraising goals
Participate in training and other professional development opportunities
Document processes for business continuity and institutional memory
Other duties as required
Qualifications:

Education and Experience
Bachelor's degree in data analytics, statistics, business administration or equivalent required
3-5 years in data management, analysis and reporting, preferably in a non-profit environment; Related experience in reconciling financial data and supporting audit processes is an asset
Familiarity with fundraising best practices, donor stewardship, and compliance standards (AFP Code of Ethical Standards, Imagine Canada Standards, CRA guidelines) is an asset
The Core Brain Story Certification through The Alberta Family Wellness Initiative is an asset
Knowledge, Skills and Abilities
Strong technical skills and ability to utilize technology to support fundraising, including database management and analysis.
Proficiency in data entry, database management, and data quality assurance
Ability to generate meaningful reports and interpret data to support decision-making.
Strong written and verbal communication skills, with an ability to clearly convey data findings to non-technical audiences.
Capacity and drive for innovation, critical thinking and problem solving;
Superior attention to detail;
Ability to organize multiple concurrent projects while responding quickly to emerging needs;
Experience with donor management systems, particularly Donor Perfect is an asset
