Overview



The Ottawa Centre for Cognitive Therapy is looking for an organized and personable Full- Time Administrative Assistant to serve as the first contact for our clients. The successful candidate will demonstrate excellent time-management and interpersonal skills while managing front-desk reception duties.

Responsibilities



Scheduling both in-person and remote appointments for a team of 12 clinicians, considering specific scheduling preferences Answering phone calls and emails professionally and efficiently Billing and collecting payment from clients Corresponding with clients and responding to inquiries in person, by telephone, and by email Filing, photocopying, and faxing documents Preparing physician letters and other correspondence Other duties as assigned

Qualifications



Bachelors Degree or diploma in Social Sciences or related discipline At least 2 years experience working as an Administrative Assistant, preferably in a psychology office Familiarity with ethical principles (i.e. client confidentiality) for psychology, as laid out by the Ontario College of Psychologists Experience using a client-based database and managing sensitive information Working knowledge of office equipment, such as printers and fax machines

The ideal candidate will possess the following skillset:

Excellent verbal and written communication skills, particularly professional telephone and email etiquette Outgoing, warm, and friendly personality Ability to de-escalate challenging situations and handle client disputes Demonstrated time-management skills and the ability to prioritize tasks in a fast-paced environment Strong organizational skills and attention to detail Ability to work independently and as part of a team Skilled in using office management software (e.g., client database, calendar software) and Mac computers

Position Details



This position is a full-time permanent position, scheduled to be 40 hours per week. The successful candidate will be available to work an 8 hour shift between the hours of 8:00am-7:30pm Monday through Thursday, and 8:00am-6:00pm on Friday.
