We are a fast-growing dental practice in West Calgary, located in the vibrant new Trinity Hills development. Our modern, 5-year-old office is looking for a Dental Administrator to join our awesome team!

Position Details:
Full-time, Monday to Friday
Two evening shifts per week (until 7:00 PM)
No weekends!
Patient hours:
Monday & Tuesday: 10:30 AM - 6:30 PM
Wednesday & Thursday: 8:00 AM - 4:00 PM
Friday: 8:00 AM - 3:00 PM
Duties
- Manage front desk operations by greeting patients and visitors with professionalism and courtesy.
- Handle incoming calls via a multi-line phone system, directing inquiries to appropriate dental staff.
- Maintain accurate and detailed electronic patient records in compliance with dental terminology and privacy standards; ensure all notes are complete, clear, and correct
- Schedule and confirm patient appointments, optimizing daily workflow and minimizing wait times; proactively follow up with patients to book pending or recommended treatments.
- Provide administrative support to dentists and hygienists, including data entry, scanning, and filing.
- Use dental software such as Cleardent and Recallmax
- Ensure the reception area and front office are clean, organized, and welcoming
- Work collaboratively with the dental admin team to streamline administrative processes and improve patient care experiences.
Requirements
- Previous experience as a dental receptionist or dental administrator in a Calgary-based dental office is strongly preferred.
- Thorough understanding of dental insurance policies, including direct billing, pre-authorizations, and follow-ups with insurances
- Familiarity with electronic records systems is essential; experience with Cleardent and Recallmax is highly desirable, but not necessary
- Solid knowledge of dental terminology to support accurate communication and documentation in a clinical setting.
- Exceptional organizational and multitasking abilities, especially in a busy, patient-focused environment.
- Comfortable operating standard office equipment and multi-line phone systems with professionalism.
- Excellent customer service and interpersonal skills, with a friendly and compassionate demeanor.
- Ability to work both independently and as part of a collaborative dental team.
- Demonstrated commitment to patient confidentiality and privacy protocols
