The Vancouver Rowing Club, established in 1886, stands as the city\'s oldest amateur athletics club. With a rich history spanning over a century, our members actively engage in Rowing, Rugby, Field Hockey, and Yachting. Situated in the picturesque Coal Harbour within Stanley Park, our heritage clubhouse and marina provide an unparalleled setting for sports enthusiasts and social gatherings alike. Position Overview: The Front Office Administrator is a pivotal role within our organization. We are seeking a dynamic individual with exceptional administrative and multitasking skills to oversee the day-to-day operations of the front office. The successful candidate will uphold a high standard of service for all members and guests while also providing guidance and training to other staff. Duties & Responsibilities:

  • Liaise with members, guests, and clients, offering advice on all aspects of club operations.
  • Respond promptly and courteously to inquiries and concerns, serving as the primary point of contact for the club.
  • Manage phone, email, and in-person inquiries, directing clients to the appropriate staff as needed.
  • Maintain paper and electronic documents, filing systems, and reservation systems for club facilities and guest moorage.
  • Manage the club website and oversee email marketing efforts.
  • Administer the access fob management system.
  • Prepare documents, reports, and marketing materials.
  • Handle the sale and tracking of merchandise, maintaining monthly inventory.
  • Process payments for club-related transactions.
  • Maintain effective communication with all staff, ensuring they are well-informed and updated on ongoing issues, information, policies, and procedures.
  • Maintain a tidy and orderly work area, ensuring working files and forms are updated and stock replenished.
  • Perform other duties as required.
Qualifications & Required Experience:
  • Minimum 2-4 years of administrative experience (private club or hospitality administration experience preferred).
  • Extensive knowledge of Office 365; experience with Jonas Club Management software beneficial.
  • Excellent interpersonal and communication skills, with the ability to create and maintain positive working relationships.
  • Proficient in written and spoken English, including grammar, spelling, and punctuation.
  • Strong analytical and judgment skills.
  • Self-starter with the ability to organize and prioritize daily tasks.
  • Flexibility, excellent verbal communication skills, and an enthusiastic and outgoing demeanor.
  • Occasional evening and weekend availability may be required.
Job Types: Full-time, Permanent Salary: $52,000.00-$57,000.00 per year Benefits:

Schedule:
  • 8 hour shift
  • Monday to Friday
  • Weekends as needed
