Responsibilities
Greet members, guests, and visitors warmly with professional phone etiquette and friendly demeanor.
Manage multi-line phone systems efficiently to handle inquiries, reservations, and general questions promptly.
Check-in members and visitors accurately using computerized systems, verifying memberships and appointments.
Answer incoming calls, direct calls to appropriate departments or personnel, and take detailed messages when necessary.
Maintain the cleanliness and organization of the front desk area, ensuring all supplies are stocked and accessible.
Handle data entry tasks such as updating member records, scheduling appointments, and maintaining accurate filing systems.
Utilize office management software including Microsoft Office Suite (Word, Excel) and Google Workspace for documentation and correspondence.
Assist with administrative duties such as proofreading documents, managing calendars, and supporting event preparations.
Support office management tasks like filing, photocopying, scanning documents, and managing incoming/outgoing mail.
Provide customer support by addressing member concerns promptly with professionalism and courtesy.
Perform basic bookkeeping tasks using QuickBooks or similar accounting software to track payments or dues when required.
Contribute to a team environment by collaborating with colleagues to ensure efficient club operations.
Maintain confidentiality of sensitive information in accordance with privacy policies.
Skills
Proven experience in front desk or administrative roles within office settings or service environments such as dental or medical reception is highly desirable.
Strong computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace, data entry, and office management software like QuickBooks.
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
Exceptional phone etiquette skills with experience managing multi-line phone systems.
Bilingual abilities are a plus to serve our diverse membership base more effectively.
Previous clerical experience involving filing, proofreading, calendar management, and document handling enhances your fit for this role.
