KINECT Rehab & Performance is a collaborative health & rehab clinic located in Toronto by Church & Richmond St. East. We are looking for a part time receptionist to join our front desk admin team on Saturdays 9-1pm!

The Customer Service Rep is responsible for cultivating a strong relationship between the clinic and its patrons, including patients, team members, and its affiliates. This is attained by providing administrative support and coordinating clinic operations with warm, pleasant and professional service. The Customer Service Representative is responsible for all aspects of patient intake, data entry, answering phone calls, outbound calling, responding to emails, invoicing and payments, clinic & linen maintenance, cleaning, as well as social and media contributions.

Primary Responsibilities

Greet and welcome patients, guests, and visitors upon arrival at the office*
Answer phone calls and provide excellent customer service for all questions or concerns*
Coordinate scheduling of patient appointments and maintain the patient's medical record*
Collect and process payment at time of service*
Complete data entry and billing*
Track and record billing submissions and approvals*
Coordinate courier packages (in or outgoing) and process incoming and outgoing email and mail*
Provide administrative support to the Clinic Director, the organization, and its members*
Maintain office security by following safety procedures and controlling access codes*
Record minutes/notes of meetings, update and schedule calendar

Secondary Responsibilities



Monitor and maintain office supplies and equipments by keeping an inventory, record office expense and costs*
Social media & news letter contributions
Assist in planning & organizing, attending, and rallying at outreach events*
Assist in accounts receivables procedure by following-up with patients/clients*

Requirements



Proven work experience as a Receptionist, Front Office Representative or similar role*
Proficiency in Microsoft Office Suite*
Professional attitude and appearance*
Solid written and verbal communication skills*
Ability to be resourceful and proactive when issues arise*
Excellent organizational skills*
Multitasking and time-management skills, with the ability to prioritize tasks*
Pleasant customer service attitude*
High school degree; additional certification in Office Management is an asset.*

Job Types: Part-time, Contract

Pay: From $17.50 per hour

Expected hours: 10 - 20 per week
