Responsibilities



Greet visitors, clients, and staff warmly, creating a positive first impression for everyone entering the office Manage multi-line phone systems, directing calls accurately and professionally while maintaining excellent phone etiquette Handle incoming and outgoing correspondence, including emails, mail, and packages with attention to detail Maintain organized filing systems, data entry records, and document proofreading to ensure accuracy and accessibility using Electronic Medical Records. Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping. Assist with clerical duties including copying, scanning, faxing, and maintaining office supplies inventory Provide customer support by addressing inquiries promptly and professionally in person or via phone or email

Skills



Strong computer literacy with proficiency in Electronic Medical Records, preferentially Accuro EMR Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently Demonstrated experience in office management or administrative roles with clerical experience preferred Knowledge of front desk procedures, multi-line phone systems, and phone etiquette essential for smooth communication flow Experience in medical or dental receptionist roles is preferred. Personal assistant experience or familiarity with calendar management enhances overall efficiency Attention to detail in proofreading documents and data entry ensures professionalism in all communications. Assistance with insurance forms. Customer service skills that foster positive interactions with visitors and clients at all times
