Job Summary - Front Desk Receptionist - 6 Month Contract (Possibility of Extension)
Reports to: General Manager
We are seeking a dedicated and organized Receptionist/Administrative Assistant to join our team. This role is the first point of contact for clients and visitors, providing exceptional customer service while supporting smooth office operations. The ideal candidate will be professional, approachable, detail-oriented, and able to handle a variety of administrative responsibilities in a fast-paced environment.
Key Responsibilities - Front Desk Receptionist - 6 Month Contract (Possibility of Extension)
1. Front Desk & Client Service
Greet and assist clients, visitors, and staff in a friendly and professional manner.
Manage incoming calls on a multi-line phone system, directing inquiries as needed.
Maintain a clean, organized, and welcoming reception area.
Respond to routine inquiries from clients, contractors, and homeowners.
2. Administrative Duties
Perform data entry accurately and efficiently, keeping records up to date.
Handle filing, scanning, and organization of documents.
Provide administrative support to all departments and managers as required.
Assist with typing, proofreading, and managing correspondence.
Process orders for office supplies, Meerkat clothing.
Manage photocopier and office supply room.
Support customer service inquiries, ensuring timely responses.
3. Scheduling & Support
Assist in coordinating departmental projects and special tasks as required.
Provide information to suppliers, contractors, and adjusters as needed.
Take payments and provide administrative support to management as required.
Assist with invoicing and daily intake entries in the company database.
4. Workplace Organization
Ensure reception and office common areas are tidy and organized.
Support company events, projects, or initiatives as needed.
5. Compliance & Culture
Read, understand, and comply with all Meerkat Roofing & Exteriors Ltd. general and safety policies, procedures, and practices.
Promote a positive, professional, and collaborative office environment.
Skills and Educational Requirements - Front Desk Receptionist - 6 Month Contract (Possibility of Extension)
Grade 12 or Equivalent; post-secondary education in Business Administration is an asset.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
proficiency in Xactimate, Dynamics 365 or Encircle is an asset.
Strong computer skills with clerical and data entry experience.
Excellent organizational and time management skills with the ability to multitask.
Professional written and oral communication skills.
Strong interpersonal skills with polite telephone etiquette and customer service focus.
Previous experience in a medical, dental, or construction office is an asset.
Ability to work independently or as part of a team.
Strong problem-solving and conflict resolution abilities.
Willingness to learn and attention to detail.
Physical Requirements - Front Desk Receptionist - 6 Month Contract (Possibility of Extension)
This role is primarily office-based.
Must be able to sit for extended periods, focus on computer monitors, and use the phone regularly.
Ability to bend, reach, and lift up to 30 lbs.
