Duties
Greet visitors, clients, and staff warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls accurately and professionally while taking detailed messages when necessary
Handle front desk operations including checking in appointments, scheduling meetings, and managing visitor logs
Perform data entry tasks with high accuracy using Microsoft Office tools, Google Workspace, and other office software
Assist with clerical duties including proofreading documents, preparing correspondence, and managing mail distribution
Utilize computer skills for tasks like document creation, spreadsheets updates, and basic bookkeeping with QuickBooks or similar software
Provide excellent customer support by addressing inquiries via phone or email with professionalism and courtesy
Uphold phone etiquette standards by answering calls promptly and courteously while directing callers appropriately
Support additional administrative tasks such as filing, photocopying, proofreading documents, and managing time-sensitive projects
Experience
Candidates should bring prior office experience that demonstrates strong organizational skills and proficiency in clerical functions. Experience working in a medical or dental reception setting is highly desirable but not mandatory. Bilingual abilities are a significant plus for communicating effectively with diverse populations. Applicants should have familiarity with multi-line phone systems, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic data entry skills. Previous experience in customer service or administrative roles will showcase your ability to handle front desk responsibilities confidently. Knowledge of QuickBooks or bookkeeping is advantageous but not required. A background in personal assistance or office management roles will further highlight your capability to manage multiple priorities efficiently.
