The ideal candidate will support overall clinic operations, contribute to the positive clinic culture and the team's shared goals and values, while working alongside a multi-disciplinary team of health professionals, ensuring an exceptional experience for the patient while in our care.
Education
College Diploma in either Office Administration-General, Office Administration-Health Services or Office Administration-Executive Co-op Program is preferred
Secondary School Diploma is required
Knowledge of medical office terminology would be an asset
Responsibilities
Provides outstanding professional customer service by acting as the first point of contact for the clinic, providing information and responding to requests from the public with a welcoming energy and high degree of professionalism
Is knowledgeable about our health, wellness and treatment services to answer patient questions
Communicates effectively and efficiently with internal clinicians, patients and community partners ensuring confidentiality and safeguarding of client information
Schedules, books and cancels patient appointments using the EMR system (Jane)
Responsible for processing payment information (i.e. cash, debit, credit card) using point of sale machine
Processes specialized billing related insurance and motor vehicle accident claims
Receives and distributes incoming and outgoing mail and redirects it to relevant parties
Composes responses to routine incoming correspondence, to the General Email Inbox, with courtesy and care, and forwards inquiries to the appropriate clinician or Clinic Manager as required
Maintains records and provides data management support, including security of records
Creates patient records and documents in the EMR system (Jane)
Maintains patient e-files or any hard copy patient information with a high degree of integrity and respect for privacy
Contributes to overall team effectiveness and a positive workplace culture by working collaboratively as a member of the team and contributing to a positive team culture and functioning
Works with the team and the Clinic Manager to identify opportunities for continuous quality improvements
Provides support in the orientation of new staff as required
Performs other duties as assigned which are related to the responsibilities of this position
Experience
Minimum of one year of recent work-related experience working in a professional office environment or administrative role with a clear demonstration of transferrable skills is
Previous experience using EMR system (Jane) would be an
Strong organizational skills with attention to detail to manage multiple tasks effectively.
Excellent communication skills, both verbal and written, to interact positively with patients and staff.
Ability to work in a team-oriented environment while maintaining professionalism at all times.
Job Types: Permanent, Part-time
Pay: From $21.00 per hour
Expected hours: 24 - 28 per week
